State of Massachusetts Temporary Executive Assistant in Worcester, Massachusetts

_PURPOSE OF THE JOB_ The Executive Assistant, under the direction of the Executive Director, provides administrative support to the Commissioners and Executive Director in a setting that requires the ability to handle a range of tasks in a fast-paced, dynamic environment. The ideal candidate is highly self-motivated, detail-oriented, and exercises good judgment in a variety of situations _ESSENTIAL FUNCTIONS AND RESPONSIBILITIES_ · Manage scheduling for appointments, meetings, and calls for Commissioners and Executive Director; · Work in collaboration with an administrative team and project coordinators in other Departments; · Support logistics for the Commission’s public meetings; · Assist in the preparation of meeting materials for Commissioners and the Executive Director; · Arranging and assisting with meetings of a variety of committees and advisory groups with a diverse range of interests and stakeholders; · Coordinate travel plans for Commissioners and Executive Director; · Maintain key internal and external contacts; · Perform key administrative duties, including correspondence management, telephone coverage, and support for programs when directed; and · Special projects or tasks as assigned. _OTHER DUTIES AND RESPONSIBILITIES_ · Maintain the highest standards of personal, professional, and ethical conduct and support the Commission’s goals for a diverse and culturally aware workforce;__ · Serves as liaison between the Commissioners, Executive Director, and Commission staff on logistical and scheduling matters; and · Willingness and ability to work in Commission’s Worcester headquarters _KNOWLEDGE AND SKILLS_ · Excellent problem solver and utility player; · Exceptional character and professionalism; · Ability to work independently in a rapidly changing environment; · Excellent oral and written communications skills; · Strong interpersonal skills and track record of relationship building; · Ability to effectively prioritize and execute tasks in a fast pace environment; · Ability to contribute actively to a work environment that embraces diversity and inclusion; · Ability to build constructive working relationships characterized by a high level of acceptance, integrity, cooperation, and mutual regard; · Ability to accept personal responsibility for the quality and timeliness of work, and for meeting expectations; and · Ability to seek opportunities to resolve problems, achieve goals, or otherwise advance the Commission’s mission. _EDUCATION AND EXPERIENCE_ · Associate degree or equivalent college credit required; Bachelor’s degree preferred; · Minimum of 5 years of experience in a high-level administrative support position supporting multiple senior leaders; · Strong administrative and organizational skills with exceptional attention to detail; and · Proficiency in Microsoft Office with advanced knowledge of Word, Excel, and Power Point. _SALARY RANGE:_ $51,000 - $71, 500 Benefits Package: The Commission is pleased to offer a comprehensive benefits package to its employees. The specific components and eligibility may vary based upon position classification, hours worked per week and other variables. Therefore, specific benefits for this position may be discussed as part of the interview and offer process. This position is non-civil service. This position is a non-exempt position. The overall benefits available include: paid vacation, sick and personal leave time, health, dental and vision insurance through the Commonwealth’s Group Insurance, and optional pre-tax Health Savings Account plans.
