First Realty Management Management Associate/Leasing Consultant in Weymouth, Massachusetts

We are seeking a Full-Time employee as a Management Assistant/ Leasing Consultant. Under the direction of the Property Manager, this individual is the first point of contact for all site management office traffic. The individual will perform customer service and administrative tasks necessary to provide responsive, courteous and efficient service to all individuals who come in contact with the management office. In addition as a Leasing Consultant, the individual will be responsible for developing and carrying out the property’s marketing communication program. This individual will be coordinating all rental activities, maximize visibility and customer traffic, and conduct market research to ensure occupancy goals are met.


Provides superior customer service to resident by assisting them with site services such as but not limited to:

  • Parking assignments and issues

  • Bike Storage

  • Assisting with move in, getting keys and other materials ready

  • Assisting with move out.

  • Assisting residents with general concerns

  • Using marketing data to forecast future market trends and works with property manager to plan site strategy to address these trends

  • Where appropriate opening the Fitness Facility each day and ensuring they are clean and fully stocked with supplies.

  • Assisting with resident activities and parties, and

  • Conducting new resident orientation

  • Greeting and assisting all visitors to the office

  • Sending out notices, responding to resident service requests and other resident needs in a prompt, efficient, courteous manner

  • Ensuring residents are notifying of projects and work being done in their unit and the steps they need to take.

  • Keep residents appraised of the status of ongoing projects and how in many affect them.

  • Answer phones, greet people, field resident relation calls

Assist with resident communications:

  • Sending out notices, responding to resident service requests and other resident needs in a prompt, efficient, courteous manner

  • Ensuring residents are notifying of projects and work being done in their unit and the steps they need to take.

  • Keep residents appraised of the status of ongoing projects and how in many affect them.

  • Answer phones, greet people, field resident relation calls

Management Assistant functions:

Provides superior customer service by:

  • Answering telephones, directing incoming calls appropriately, taking messages and assisting callers whenever possible

  • Greeting and assisting all visitors to the management office

  • Taking maintenance service requests and following up with maintenance staff to ensure completion when necessary

  • Taking resident complaints and handling matters according to guidelines established by property manager

Supports the site manager office in an administrative capacity by:

  • Maintaining resident files, lists and other resident-related date

  • Collecting and processing rent checks and preparing rent receivables report

  • Preparing memos, letters, reports, and other documents

  • Completing and monitoring guest cards and analyzing information on guest cards

  • Scheduling various services and inspections relating to buildings and apartments; coordinates and communicates with residents when applicable.

Ensures the efficient operation of the management office by:

  • Ordering office supplies, maintaining postage machines, and arranging office equipment repairs.

  • Working with other staff members to ensure the management office maintains a professional appearance and environment

  • Assuming additional responsibilities and assisting co-workers when necessary

Leasing Consultant functions:

Markets vacant units to potential residents by:

  • Establishing and maintaining contact with prospective residents,

  • Showing units, placing follow up phone calls to potential residents

  • Demonstrating and highlighting property’s advantages,

  • Ensuring model and vacant apartments are ready for show, and

  • Following up on all inquiries and undecided prospects

Completes leasing process by:

  • Processing, applications according to established procedures,

  • Completing appropriate background checks,

  • Processing leases,

  • Reviewing applications and leases with the manager for final approval

  • Ensuring apartment readiness for move-in, and

  • Adhering to fair housing regulations in all aspects of the leasing process

Increases flow of customer traffic and maximize property’s visibility by:

  • Develop effective communication materials, i.e. advertising and promotional materials

  • Develop on-site activities and promotions while insuring the properties curb appeal is attractive and appealing

Conducts marketing research on the local competition by:

  • “Shopping” competitors properties and gathering data on competitors prices and marketing techniques

  • Identifying economic trends and collects data on customer/resident preferences


  • Assist with the processing of rental applications

  • Shows/leases apartments

  • Covers concierge desk during meal breaks where appropriate

  • If Applicable, maintains accurate, updated wait list by:

  • Other duties as assigned by Property Manager

  • regularly communicating with wait-list applicants, verifying and updating applicant status regarding applicant’s income, family size

  • Maintaining wait list in an orderly fashion and in full compliance with fair housing regulations.



  • Excellent resident relations, customer service, and telephone skills

  • Excellent communication skills, both verbal and written

  • Strong organizational skills and attention to detail

  • Detail-oriented and strong ability to gather data and evaluation techniques


  • Ability to work on simultaneous tasks calmly and effectively

  • Interest and ability to interact with other people effectively

  • Interest and ability to learn

  • Ability to have excellent marketing skills and an ability to develop marketing, promotional and other communication material

  • Schedule: Sunday - Thursday, covering the Leasing office on weekends potentially on Saturday's

Knowledge of:

  • Microsoft Word and Excel and Internet

  • Business English and letter format

  • Familiarity with local, state, and federal housing regulations and any housing programs applicable to property preferred


  • Minimum of 2 years of experience in leasing, marketing, or related field

  • Prior work experience in an office environment

Level of Education/Training/License:

  • Bachelor's degree in business or marketing preferred
