Job Description

Olympus Corporation of the Americas (OCA) distributes a wide range of medical and surgical devices used to diagnose and treat diseases. OCA needs to educate health care providers on the safe and effective, on label use of those products through Professional Education courses, workshops, training events, and online educational learning experiences.

This role is responsible for assisting with event coordination, maintaining attendee registration systems, processing and reporting HCP and course-related payments, and ensuring compliance with legal and financial guidelines. The Specialist provides essential support in logistical coordination, document preparation, and general administrative tasks that contribute to the successful execution of Professional Education programs.

Job Duties

  • Process paperwork for Health Care Professional expense reimbursements, following corporate policies and established processes as needed.

  • Process payments and health care reporting submissions for all assigned departmental spend using a variety of methods and software programs.

  • Understand and interpret compliance and legal guidelines regarding providing items of value to HCPs and the related spend reporting. Ensure compliance guidelines are being communicated when applicable and report issues as directed.

  • Identify, track and report inconsistencies in budget spend, invoicing practices or reporting practices.

  • Support the preparation and maintenance of training course documents, materials, and departmental work instructions.

  • Assist with logistical coordination for educational events, including helping with attendee registration and course setup.

  • Collaborate to maintain Professional Education attendee registration system

  • Perform administrative tasks such as filing, scanning, creating name badges, certificates, and processing office supply orders.

  • Assist in processing vendor invoices using the internal Purchase Order system under the guidance of senior staff.

  • Perform other related tasks as directed, providing support to senior staff and contributing to overall department efficiency.

Job Qualifications

Required:

  • Experience managing data.

  • Weekly overtime may be required

Preferred:

  • Associates degree preferred and a minimum of 2 years administrative/coordination experience and/or other relevant experience in lieu of degree

  • Event planning, customer service experience preferred

  • Experience managing data.

  • Proficient with Microsoft Office applications, especially Word, Excel and PowerPoint.

  • Strong and proven data management skills with a track record of high accuracy

  • Team Player with the ability to work independently and proactively.

  • Ability to deal with stress while maintaining professionalism and courtesy.

  • Proven ability to focus on projects and meet deadlines and work with high level of detail and accuracy
