Robert Half Office Admin Coordinator in Wellesley, Massachusetts

Tremendous opportunity for an Office administrative coordinator. Great wellesley MA area!

Responsibilities:

• Answer and route phone calls to the appropriate contact within the property management team.

• Manage incoming and outgoing mail.

• Prepare and distribute memos, spreadsheets, agendas, and reports in a timely manner.

• Update property information sheets and maintain accurate insurance certificate files for all contractors performing work at the properties.

• Coordinate with unit owners and residents for the scheduling of contractor work.

• Ensure accurate unit owner/resident records are properly maintained and updated in property management software and resident files.

• Organize and file all applicable reports, leases, and paperwork.

• Distribute monthly financial reports and work on small projects with the Accounting team.

• Assist in managing customer contracts and existing contracts.

• Use QuickBooks for looking up balances and providing ledgers.

• Handle customer inquiries and provide necessary information.

Requirements

• Must have a minimum of 3 years of experience as an Accounting Clerk or similar role

• Proficiency in data entry and invoice processing is required

• Proficiency in Microsoft Excel and QuickBooks is necessary

• Experience in property, property management, and property management companies is preferred

• Familiarity with contracts, customer contracts, and existing contracts is preferred

• Excellent communication and organizational skills

• Ability to work independently and as part of a team

• Strong attention to detail and problem-solving skills

• A bachelor's degree in Accounting, Finance, or a related field is preferred

• Must possess a strong sense of professionalism and ethics

• Ability to manage multiple tasks and meet deadlines

• Excellent customer service skills.
