Commonwealth Financial Network Project Coordinator, Community in Waltham, Massachusetts

We’re looking for a project coordinator who can help our busy team stay on track and work more efficiently by initiating projects, implementing new procedures, carrying projects through to completion, and identifying gaps in our processes. Reporting to the manager of community strategy, the project coordinator will act as a shared service across the entire team, communicating and collaborating with team members, with other departments across the firm, and with external vendors.

Key Responsibilities

  • Serving as a liaison between Community team business units, attending team meetings, managing a central source of truth for processes, and cross-training team members

  • Coordinating with other Commonwealth departments (especially Marketing, Technology, and Compliance) to manage interdepartmental projects, stay on top of deadlines, and identify areas for improvement

  • Managing new and recurring projects from start to finish, scheduling kickoff meetings and regular check-ins with project stakeholders, ensuring all participants understand their roles and responsibilities, and working with external vendors to complete projects as needed

  • Assisting with the coordination of both pre-production and on-site event support, as necessary

  • Staying knowledgeable of industry best practices by researching tools and trends, and sharing findings and recommendations with management and other team members

  • Providing operational and administrative support for the Community team, including processing supplier invoices, updating templates, and processing contracts, as needed

  • Maintaining CRM data integrity and carrying out data maintenance projects, as needed

  • Knowledge of Microsoft Office 360 suite, especially Excel and Word; experience with Planner a plus

  • Knowledge of Adobe Workfront preferred; knowledge of Cvent a plus
