State of Massachusetts Logistics Coordinator in Springfield, Massachusetts

The Department of Developmental Services (DDS) has an immediate opening for aLogistics Coordinator. The selected candidate will support the department’s regionally based State Operated Services programs and provide logistical and technical support to State Operated Group Homes. The ideal candidate will work under the direction of the Regional Director or designee and collaborate with the Executive Office of Health and Human Services (EHS) Human Resources and DDS Regional Management Team to determine hiring needs, placement of candidates, and plan strategic recruitment activities. The incumbent will collaborate with EHS Information Technology (I.T.) to provide on-site end user assistance with computers, printers, internet connectivity, cable, and telephone services. This individual will support and provide training to DDS staff, including but not limited to software utilization, and will develop, monitor, and maintain file-sharing conventions and processes. The Logistics Coordinator will act as a liaison with EHS IT and DDS staff, support the State Operated Services management team and assist with related planning and activity. /_Duties and Responsibilities (these duties are a general summary and not all inclusive):_/ * Collaborates with EHS IT to provide on-site support to state-operated group homes, including installing, configuring, and troubleshooting devices, including computers, tablets, printers, peripherals, and internet connectivity. * Clearly Communicate and/or escalate any IT operations to the help desk when unable to resolve issues at the homes pertaining to business equipment and network connectivity. * Acts as a liaison with I.T. in resolving issues at homes; collaborate with EHS IT to provide DDS end-user software license management, including processing requests that support the enrollment, maintenance, and disenrollment of mass.gov email accounts for direct care and other group home staff. * Assists state-operated group home staff navigate the EHS-IT help desk processes. * Evaluates state-operated group homes on-site systems/processes pertaining to I.T. related areas, and make recommendations for improvements. * Documents use cases for new programs or applications which could benefit state-operated group homes I.T systems. Work with State Operated group home management, regional fiscal staff, bureau of program integrity, and EHS IT in selecting and implementing new systems, applications, and software. * Coordinates with DDS and EHS-IT training departments to produce DDS-centric instructional materials and training curriculum which would support group home staff operations in more effective and efficient utilization of I.T. tools, systems, and applications. * Partners with EHS-IT to provide DDS centric support and training for state operated group home employees around applications and software utilization. * Develops, monitors and maintains file sharing conventions utilization and related systems/applications such as Share point and Microsoft TEAMs channels. * Communicates and/or escalates any Comcast (or other residential services providers) when unable to resolve issues at the homes pertaining to residential services. * Serves as liaison between state-operated group homes and Comcast (and other providers) regarding issues of internet, Wi-Fi, cable TV and telephone services. * Continues to grow technical skills by participating in offered technical trainings as offered by the Commonwealth. * Works collaboratively with internal and external groups to improve group home operational efficiency. * Cooperates with EHS-IT to configure DDS local printers and multi-functional devices to be compatible with firewall services/filters and other related security. /_Required Qualifications_/ * Ability to exercise sound judgment, attention to detail, and adaptability while maintaining a hands-on and proactive approach. * Strong customer service skills and capacity to maintain a high level of confidentially. * High level of self-motivation and accountability, bringing enthusiasm and energy to team and tasks. * Detail-oriented and highly organized, with a solid ability to multi-task successfully. * Demonstrated ability to write clearly and concisely, express thoughts clearly and develop ideas in a logical sequence, ability to assemble items of information in accordance with established procedures. * Superb ability to install computers and peripherals, including internet access; can work as part of a team in developing and supporting IT processes in group homes. * Proven organizational and prioritizing skills; Knowledge of the methods of general report writing and work simplification methods. * Excellent interpersonal and communication skills with the aptitude to work independently and collaborate with multiple staff. /_Preferred Qualifications_/ * Familiarity with the laws, rules, regulations, policies, procedures, specifications, standards, and guidelines governing assigned unit activities. * Demonstrated knowledge of organizational structure and functions of the assigned agency. * Broad Knowledge of the proper procedures for established agency network and telephone systems; Knowledge of the types and uses of agency forms. * Understanding of the laws, rules and regulations governing the state personnel system. * Knowledge of DDS regulations, principles, and mission. The terminology and abbreviations. * Adept with the principles and practices of information technology and experience with Commonwealth EOTSS and EOHHS IT policies and procedures. * Demonstrated understanding of state government and interrelationships between agencies. * Proven knowledge of state procedures governing the purchasing and requisitioning of supplies and equipment. /_About the Department of Developmental Services:_/ The mission of the Department of Developmental Services (DDS) is to create innovative and genuine opportunities for individuals with intellectual and developmental disabilities to participate fully and contribute meaningfully to their communities as valued members.
