Robert Half Executive Assistant in Springfield, Massachusetts

Description We are offering a contract to permanent employment opportunity for an Executive Assistant in our non-profit organization located in Springfield, Massachusetts. This role is critical to the smooth operation of our executive director's office, managing schedules, coordinating events, and handling communication for our executive leadership team.

Responsibilities:

• Manage and coordinate the schedules of the executive director and leadership team, ensuring efficient allocation of time and resources.

• Coordinate and oversee special project assignments as required.

• Handle new permanent information, including coordinating lunches for new permanent training and other related administrative tasks.

• Draft and send out memos and emails on behalf of the director, maintaining detail oriented correspondence at all times.

• Conduct mail merges and manage incoming and outgoing mail.

• Liaise with vendors and other external parties, coordinating their visits to the office.

• Ensure the administrative team's phone rotation schedule is up-to-date and effectively managed.

• Use skills in Concur, CRM, Microsoft Excel, Microsoft Office Suites, Microsoft Outlook, About Time, Calendar Management, Correspondence, C-Suite, Documentation to efficiently perform tasks and responsibilities.

• Assist in maintaining a clean and organized work environment for the leadership team. Requirements • Strong proficiency in Microsoft Office Suites including Microsoft Excel and Microsoft Outlook

• Prior experience in a non-profit environment is preferred

• Excellent calendar management skills, with the ability to coordinate complex executive meetings

• Experience assisting C-Suite level executives

• Proficiency in Concur and CRM systems

• Ability to handle and prioritize multiple tasks while maintaining attention to detail

• Proficiency in managing correspondence and documentation

• Familiarity with 'About Time' time tracking software

• Excellent verbal and written communication skills

• A high level of discretion for both business and personal affairs

• Strong organizational, project management and problem-solving skills

• Exceptional interpersonal skills

• Friendly and detail oriented demeanor
