This individual is efficient and comfortable being a member of a team. The ability to communicate effectively, while providing administrative support, is essential in this position. The ideal candidate for this job is resourceful, a good problem solver and organized. The responsibility of this position is evolving and requires the ability to adapt. Assuring a steady completion of workload in a timely manner is key to success in this position.

Position is located in Southborough, MA.

Job Responsibilities

  • Confidently communicate with project managers to get necessary paperwork and information to process services and jobs in our systems

  • Assist General Manager with contracts administration and organization of information

  • Maintain organized databases to communicate information effectively and accurately to all team members

  • Follow-up on status of jobs to insure timely invoicing and accurate job costing

  • Send service invoices to customers

  • Become the Service Trade expert through successfully navigating and understanding how to retrieve essential information

  • Cross-train on contract billing to serve as support and back-up as needed

  • Cross-train in AP and Payroll to serve as support and back-up as needed

  • Cross-train in front desk support in Office Manager absence and back-up as needed

Job Requirements

  • Must possess Associate degree in Business or Accounting with relevant work experience. Bachelor’s degree a plus.

  • Minimum 3 to 5 years related office/accounting experience

  • Proficient in Excel

  • Must be detail and deadline oriented

  • Strong critical thinking skills

  • Service Trade and/or Great Plains experience a plus

Successful completion of a drug test and pre-employment background screening is required. MVR checks are required for all driving positions.
