Pelican Products Operations Coordinator in South Deerfield, Massachusetts

Operations Coordinator OVERVIEW: The Operations Coordinator supports activities and projects at the facility across all areas including but not limited to Human Resources, Office, Security, Facilities and Safety Support. Providing excellent external and internal customer service through effective and timely communication with all employees, potential employees and service providers. WHAT YOU\'LL DO: HR/Office Administration Perform administrative processes relating to Employee Life Cycle, for example, scheduling drug screens, submitting request for background information, onboarding processes, updating HRIS system with changes, preparing termination paperwork. Maintain bulletin boards and TV monitors with plant messaging. Assist with and be a backup for New Hire Orientation Assist with coordination of new hire preparation (prepare office, coordinate/ distribute orientation schedule, etc) Field employee questions and inquiries for HR with appropriate escalation to HR Manager Carry out general administration tasks, for example, weekly paycheck distribution, answering telephone calls, ordering supplies, stocking supplies in office break area, and sorting mail. Update and create standard documents and letters and manage employee files stored on the cloud system (Box) Ensure all electronic and paper-based personnel files are maintained and filing is completed in a timely and accurate manner. Assist with meeting and event planning for plant- ordering lunches, booking venues, HR event planning. Adhere to the Company Data Protection Policy and Procedure and ensure private and confidential data is processed and retained in line with the GDPR requirements. Perform other duties and work on special projects as required or assigned. Safety/ Security/ Facilities Administration Guest Management- Welcome all visitors, ensure all guests are entered into Traction Guest, issue temp badges, ensure proper PPE and inform them of basic safety/security requirements, and assist unsolicited guests. Ensure compliance with all security and ITAR requirements. Welcome and assist all visitors, administrating security clearance, link them with their hosts and ensure they understand basic safety/ security requirements for entering the facility. Coordination of the Employee Prescription Safety Glasses Program and Shoe Mobile Maintain employee and contractor badge access. Assist with administration of EH&S- tracking corrective actions, scheduling of hazardous waste removal, tracks PSA\'s, etc. Administration of employee parking passes and locker assignments Assist with Safety committees and safety related projects. Assist with tracking and conducting EH&S orientation and training. JOB REQUIREMENTS: Minimum of 2 years\' experience in Human Resources, Office Administration or Manufacturing Administration Support Strong Microsoft Office skills, ability to mail merge, create presentations and design spreadsheets, including formulas. Good knowledge and experience of HRIS Systems is preferred. Must have excellent verbal, written, and presentation skills, with great attention to detail. Must be organized and can easily manage multiple tasks and activities at once. Have accountability for action items and does not require repeated follow-up. Must be able to interact effectively and diplomatically with all company personnel under minimum supervision and be responsive to the requirements of department members and other departments with whom interaction is necessary. Ability to have a positive and proactive approach, maintaining a high level of confidentiality. Must be comfortable with working in a manufacturing environment.
