Stop and Shop Administrative Assistant II in Quincy, Massachusetts

18589BRAuto req ID:18589BRJob Description: Provide direct administrative support and coordinate administrative activities as well as the daily management of administration to effectively support the functional area. Position requires exceptional organizational skills, and the ability to multi-task to support the business process. This position also has a high level of involvement in confidential material.

  • Provide professional administrative support.

  • Manage calendar and schedule appointments based on the prioritized needs of the business.

  • Utilize Microsoft office programs to create various documents, spreadsheets, and executive level presentations.

  • Serve as coordination point to collect, organize, and present information for the functional area.

  • Prioritize incoming/out-going correspondence to ensure timely response.

  • File requests as appropriate and may respond on behalf of the Executive.

  • Create and edit letters, memos and e-mails for and on behalf of the Executive.

  • Responsible for securing and distributing confidential materials.

  • Provide necessary information and reports as needed. Research issues and coordinate appropriate responses.

  • Schedule meetings, trips and functions within the functional area as required.

This position is responsible for protecting sensitive customer, associate and company information by: maintaining an understanding of company information security practices and controls; adhering to information security policies; ensuring the proper use of sensitive information; ensuring that vendors for whom the incumbent is responsible adhere to Stop & Shop policies; and reporting policy violations or information security breaches.

The incumbent in this position is also responsible for ensuring that their supervisor is aware of all circumstances in which they use sensitive customer, associate and company information, and where and how such information is stored and protected. Experience:5-7 years
