Job Description:

Duties/Responsibilities:

  • Manages all functions related to Materials Management & Distribution including Receiving, Inventory Control, Stores, Distribution, Equipment, Mail Room, and others as assigned.

  • Coordinate with third party courier services, as needed.

  • Responsible for code cart oversight verifying stocking, rotation and expiration management is maintained.

  • Directly oversees materials management staff, including, receiving and materials representatives. Works closely with staff to provide quality and timely services to achieve departmental initiatives. Responsible for monitoring staff productivity and performance.

  • Actively manages staff performance, including periodic and ongoing feedback and timely performance evaluations

  • Develops and manages staff schedule, including oversight of vacation requests and unanticipated earned time (e.g. sick calls).

  • Develops department staff through ongoing in-service education, on-the-job training and evaluation. Educates staff to new storeroom items.

  • Acts as a role model for culture related behaviors such as service standards

  • Leads staff to resolve problems and conflicts constructively.

  • Recognizes staff behavior that reflects positive cultural elements; addresses behavior inconsistent with cultural expectations.

  • Provides/supports opportunities for staff growth and development

  • Assists in determining goals, objectives and overall direction of the services Materials Management provides to all departments

  • Oversight of physical inventory including but limited to; supporting physical inventory semi-annually, oversight of inventory discrepancies and counts (Meditech to actual shelf count), storeroom inventory (adding/deleting/modifying items), addressing and correcting receiving errors and missed receipts.

  • Supports recalls, cost reduction initiatives and Material’s services throughout the Hospital system.

  • Review trends in departmental requests to identify items that should be added to or removed from storeroom inventory

  • Ensures that all direct report personnel operate within the established hospital departmental policies and procedures.

  • Works closely and proactively with leadership to support patient care, supply & equipment services and implement initiatives. It is the responsibility of the supervisor to set the tone and the standard for all actions of the Department.

  • Performs periodic inspections of nursing units relative to supply consistency (volume, etc.)

  • Assists in clerical functions associated with distribution and collection of supplies.

  • Serves on committees and as a liaison for those needing assistance with Materials Management.

  • Maintains good working relationships with all hospital departments by providing service, management assistance and open communication.

  • Maintains adequate operating supply levels in the hospital and coordinating timely supply distribution.

  • Assures that records are maintained in conformance to institutional policies, as well as regulatory agency and governmental directives.

  • Exhibits and applies overall problem solving skills to maximize efficiency and operations.

  • Other Duties as assigned

Experience/Skills Required:

  • Minimum of three years of Inventory/Materials Management experience in a healthcare setting required.

  • Must be able to work in a fast-paced environment with demonstrated ability to juggle and prioritize multiple, competing tasks and demands and to seek assistance as appropriate.

  • Past supervisory/management required

  • Knowledge of procurement concepts and automated resource management systems purchasing procedures for Materials Management required.

  • Knowledge of Microsoft Office required

  • Meditech for Materials Management knowledge preferred

  • Communication (verbal, written, computer)

Education Required:

  • Associates degree with business course work or related experience
