Job Description:
Duties/Responsibilities:
Serve as front line secretary displaying courtesy and professionalism at all times while greeting or interacting with patients, families or other personnel in person or on the telephone.
Utilizes communication skills by answering the telephone in a timely manner (within 3 rings), responding in a pleasant manner, retrieving and documenting messages throughout the day, and directing calls appropriately.
Actively participates in a positive manner as a team member in a team environment.
Responsible for accurate patient registrations; obtaining proper demographics, insurance and referring physician information.
Obtain all necessary patient consents/signatures.
Responsible for accurately identifying patients using approved patient identifiers and placing that patient’s identification wristband on the correct patient.
Prepare, maintain and close patient medical records ensuring accuracy and completeness.
Collect co-pay and/or deductibles payment in accordance with credit and collection policy.
Maintain written and telephone communications; screening all calls and referring to the appropriate individual.
Assist in the collection and preparation of data for departmental reports.
Schedule recurring patient appointments accurately and aggressively to maintain full schedules for clinical staff and ensure patient treatment plans are fulfilled.
Coordinates scheduling for patients within Cancer Services:
MD and NP appointments
NP teaching session appointments
Nurse visits
Lab appointments
Chemotherapy appointments
Other infusion/injection appointments
Breast Center appointments
Coordinate all above appointments with Radiation Oncology as required.
Coordinates scheduling for diagnostic testing outside the Cancer Center and obtains proper insurance authorization for these tests:
CT scans
PET scans
MRI
MD Consults/Surgical Consults
BID-Boston visits
Coordinates scheduling of bone marrow biopsies with the surgeon, operating room, anesthesia, and pre-admission testing and obtaining proper insurance authorization.
Performs exam specific screening relative to ability to schedule and perform testing; refers to appropriate individual as needed for clarification.
Distributes to patients all required notifications and documents.
Enter the appropriate diagnostic testing orders, demographics and insurance information into Meditech system to facilitate patient care and hospital billing procedures.
Prepare, maintain and close patient medical records ensuring accuracy and completeness.
Process cancellation and no show appointments and notify ordering physician.
Enter/edit requisition information and prints to appropriate printers.
Manager patient requires for medical records.
Faxes reports as necessary.
Ability to decipher MD/NP orders and schedule appropriate chemotherapy appointments accurately with the knowledge of the importance to adhere to the specific treatment plan schedules.
Coordinate and maintain insurance eligibility, benefits, authorizations, certifications and re-certifications to secure insurance payment.
Work with providers re: insurance denials to ensure peep-to-peer reviews are completed timely.
Able to work at an efficient pace with accuracy and minimal supervision.
Assist with special projects as needed.
Assist in training of new office staff.
Other secretarial duties as necessary during assigned shift to maintain the smooth functional operations of the service.

Education/Experience Required:
Completed medical terminology course and successfully pass hospital exam.
Possess problem-solving techniques, strong interpersonal skills and effective oral and written communication skills.
Strong keyboarding at 30 wpm and successfully pass hospital exam.
Previous experience with hospital registration system and secretarial experienced preferred.
Demonstrated ability to function independently with minimal supervision.
Possess good decision-making skills and demonstrated ability to work under pressure, maintaining a helpful and courteous manner.
Two years of secretarial/clerical/billing experience.
High School Diploma
Registration/Certification:
- Graduate of Medical Assistant/Secretary course or equivalent preferred.
Physical/Environmental Requirements
This job requires frequent bending, carrying, pulling, pushing, reaching, standing, stooping, walking and lifting over 10 lbs. There will be occasional need for climbing stairs, lifting in excess of 50 – 100 lbs and sitting. Constant use of hearing, sight and speech. Frequent use of smell and touch. Frequent keyboard and telephone use. Constant concentration and problem solving.
