Berkshire Health Systems Administrative Assistant in Pittsfield, Massachusetts
DEFINITION/PRIMARY FUNCTION
Responsible for routine secretarial responsibilities of the Administrative Director of Radiology. • Responsible for all Quality Data input and statistics for the department. This include daily VRC reviews and Trauma peer review. • Responsible for collecting all monies coming into the department, processing and compiling checks and assuring that these funds are sent to the Audit and Control office. • Responsible for all Radiation Safety functions to assist the Radiation Safety officer regarding distribution and collection of radiation safety badges, keeping logs of all badges returned, distributing monthly reports to coordinators in 18 different modalities/departments, and insuring that the badges are sent in a timely manner back to the vendor for processing. • Coordinates the communication with the Massachusetts Department of Radiation Safety with regard to all licensing of radiation sources, amendments to licenses, payment of bills related to licenses, etc. • Coordinating various special projects such as Annual respiratory fit testing and flu vaccinations for all employees in Radiology, researching and accumulating data for annual Cancer Symposium for Cancer Committee presentations by radiologists, etc. • Responsible for ordering all office supplies for all modalities in the department. • The Assistant is required to be able to function independently and handle multiple assignments in an efficient and autonomous manner. This position requires self-motivation and the ability to work independently, problem solve and organize information to be disseminated to various interdependent departments. Must be able to effectively interact with all levels within organization including the physician community as well as customers/patients of the Radiology Department.
POSITION QUALIFICATIONS (Minimum qualifications are required unless stated otherwise.)
Experience:
-Minimum two years administrative experience in a Healthcare oriented environment interacting with physicians and all levels of management required.
Education and Training:
-Associates degree in business/secretarial science or equivalent work experience required.
License, Certification & Registration:
Other Requirements:
-Experience with coordinating travel, meetings and reimbursement. -Experience in office coordination/scheduling required. -Demonstrated excellent verbal and written communication skills required. -Ability to handle confidential information required. -Ability to develop work systems that allow for efficient completion of daily activities. -Excellent Microsoft Word, Excel and Power Point skills required. -Ability to create spreadsheets and statistics related to operation of radiology service line. -Experience with Meditech system preferred. -Demonstrated ability to provide highest level of customer service when dealing with all levels of staff, patients and public.
