Baystate Health Volunteer Services Assistant in Palmer, Massachusetts

Summary:

Assists with providing a meaningful experience for Baystate volunteers who support our mission of quality care for patients and visitors. Provides administrative and secretarial support to the Volunteer Services Department. Assists with a variety of tasks related to program support and development. Completes a variety of reports, spreadsheets, electronic documents and media.

Job Responsibilities:

1) Assists with volunteer recruitment and retention including outreach and relationship development with the community; attends vendor fairs and local community events.

2) Assists with the development and implementation of appropriate recognition, retention and motivation programs for volunteers including educational programs.

3) Assists with onboarding documentation, orientation, training and competency assessment of new volunteers.

4) Assists with appropriate placement of volunteers based on volunteer preference, organizational needs and skill sets.

5) Assists with office and clerical tasks including maintaining volunteer information systems, rosters, daily schedules, tracking of hours, database management and electronic records.

6) Receives and screens visitors and telephone calls for department and responds to general inquiries or routes to appropriate personnel.

7) Receives and screens incoming correspondence, reports, memos, letters, etc. and prepares appropriate responses to routine inquiries.

8) Answers inquiries concerning activities and operations of department.

9) Schedules meetings, conferences, interviews, and appointments.

10) Assists with Lobby greeter schedule and training; provides occasional greeter responsibilities.

11) Assists with occasional Gift Shop store coverage.
