State of Massachusetts Administrative Assistant - Classification & Records in Northampton, Massachusetts

General Statement of Duties* * Administrative and secretarial support duties in assisting the Director of Classification and the Director of Records to discharge the duties of that position. Performs varied and responsible duties requiring the exercise of confidentiality, judgment, discretion, and tact in coordinating certain functions for the Records Department. Assists the Director of Classification and the Director of Records by performing various duties not requiring his or her personal and official attention. Supervision Received* * The Administrative Assistant works under the general supervision of the Director of Classification and the Director of Records. Duties and Responsibilities * Creates and maintains common dataset reports, prepares responses to external survey requests, and produces routine to complex reports for internal and external use. Provides data and analysis in response to ad hoc requests for information from a variety of internal and external constituents. Gather and file secondary documentation to exhibit compliance with appropriate standards. Collaborate with the Compliance Team for accreditation standards. Recognize various deadlines and adjust work flow accordingly, to meet strict timelines. Frequent contact with facility staff, legislators, criminal justice agencies and members of the general public. Assist the Records Department and other staff with assignments for the Sheriff including gathering information pertaining to litigation or legislation when needed. Any other task or duty as assigned or required. *Preferred Qualifications * Associates Degree in business or related field and/or at least three (3) years of full-time, or equivalent part-time experience in office administration, business administration or business management, the major duties of which included one or more of the following functions: records management, grants management, contract administration or program management. *SKILLS AND ABILITIES REQUIRED Knowledge of data analysis and statistical techniques. Ability to produce spreadsheets, correspondence and reports utilizing a variety of software, such as Excel, PowerPoint, Adobe Acrobat, Access and/or comparable databases with the use of charts, graphs and tables. Ability to analyze and determine the applicability of data, to draw conclusions and to make appropriate recommendations. Ability to understand, explain and apply the laws, rules, regulations, policies, procedures, specifications, standards and guidelines governing assigned activities. Skill in report writing and accurate record management. Ability to write concisely, to express thoughts clearly and to develop ideas in logical sequence. Ability to follow written and oral instructions. Ability to handle confidential information and classified documents with the utmost discretion, tact and confi¬dentiality. Ability to plan and arrange significant portion of own work, referring unusual situations to supervisor or others. Knowledge of and strict adherence to Massachusetts Criminal Offender Record Information (CORI) statute. Knowledge of and strict adherence to Performance Based Standards for Adult Local Detention Facilities as written by the American Correctional Association. Possess or have the ability to obtain, working knowledge of legislation as it pertains to the Criminal Justice System. Must successfully pass a background investigation. Familiarity with grant writing and management (preferred).
