Robert Half Executive Assistant in Newton, Massachusetts

Description We are in search of a diligent Executive Assistant to join our team in the non-profit sector. Based in Newton, Massachusetts, this role provides crucial support to our CEO and board of directors, managing a variety of administrative tasks and responsibilities. This role is a contract to hire employment opportunity, offering the chance to make a significant impact in our organization.

Responsibilities:

• Model and lead a positive culture within the organization in line with our values and behaviors.

• Manage the CEO’s calendar, prioritizing sensitive matters, resolving scheduling conflicts, and confirming logistics.

• Oversee the recordkeeping and meeting schedule for the Board of Directors, which includes onboarding new Directors, managing Board governance and contact records, and organizing Board engagement and appreciation activities.

• Support CEO in internal and external email communications, preparing reports, PowerPoint slide decks, and other materials as needed for CEO, National Board, and Committee meetings and presentations.

• Assist the CEO with fundraising and National Board recruitment activities.

• Collaborate with the VP of National Philanthropy to manage the National fundraising and donor engagement plans.

• Manage the suite of National donor reports, the CEO’s donor engagement tasks, and research prospective donors to effectively support the CEO to solicit, cultivate, and steward managed donors.

• Serve as a primary user for the CRM database on the Executive team.

• Manage and maintain the CEO's and Board filing systems, ensuring all documents are organized and easily accessible.

• Organize the CEO’s travel arrangements and prepare expense reports.

• Assist with the planning, preparation, and execution of National and all-staff events and meetings.

• Provide support and management for the CEO’s Thought Leadership communication, engagement, and logistics, Executive Marketing and Communications assets, as well as the CEO’s legislative portfolio.

• Handle confidential and sensitive information with discretion and professionalism.

• Assist with other administrative tasks and projects as needed.

Skills:

• Calendar Management Requirements • Candidate must possess a minimum of a Bachelor's degree in Business Administration or a relevant field

• Proven experience as an executive assistant or similar administrative role within the non-profit sector is required

• Demonstrated experience in calendar management and scheduling is essential

• Excellent organizational and time management skills

• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

• Strong verbal and written communication skills

• Ability to handle confidential information with discretion

• Exceptional attention to detail and problem-solving skills

• Ability to multitask and prioritize daily workload

• High level of professionalism and interpersonal skills

• Knowledge of office procedures and best practices.
