The Executive Assistant is a strong representative of the Department of Surgery, working in alignment with the mission of the Department. He/She is organized, polite, and is a true team player. He/She provides support to establish an efficient working environment for the Chair and NWH Director of Women in Medicine, promoting good communication and rapport with all department faculty and staff, patients, and other hospital personnel, exercising independence and dependability, excellent judgment, and experience to ensure the efficient and effective provision of services and the timely completion of projects. Must have recent experience within healthcare as an Executive Assistant. 5-10+ years of experience required.

salary: $44,000 - $75,000 per year

shift: First

work hours: 8 AM - 5 PM

education: Bachelors

Responsibilities

  • Coordinates the operations of the Department of Surgery, supporting high-level strategy and core functions under the Chair of Surgery, Associate Chairs, and Administrative Director.

  • Handles confidential and sensitive information.

  • Provides secretarial/administrative support, including scheduling meetings and managing daily schedules.

  • Facilitates internal and external meetings, including logistics, catering, and minutes.

  • Manages day-to-day administrative operations, acting as liaison between the Chair, hospital community, patients, and visitors.

  • Drafts, edits, and prepares written communications and assists with annual reports and presentations.

  • Supports on-boarding of new physicians and collaborates with the MSO on provider matters.

  • Manages office tasks such as copying, scanning, mail sorting, and supply ordering.

  • Processes purchase orders, work orders, check requests, and expense reports.

  • Organizes travel schedules and reimbursements.

  • Maintains databases and systems for tracking and retrieving information.

  • Provides administrative support for special projects and ensures full-time support coverage.

  • Acts as timekeeper for specific personnel.

  • Coordinates CME programs, ensuring CPD approval and CME availability.

  • Provides administrative support for Tufts Medical School program and MGH resident programs, including scheduling interviews, orientations, and events.

  • Manages weekly educational talks, including speaker confirmation, scheduling, and communication.
