State of Massachusetts Office Coordinator in New Bedford, Massachusetts

GENERAL SUMMARY OF POSITION: * MassHealth is actively searching for a highly organized and personable Office Coordinator to support the office operations of the Electronic Document Management Center (EDMC). EDMC was established to focus on and streamline client case processing throughout the Commonwealth. The ideal candidate has an eye for detail and passion for providing excellent customer service who is willing to help our office effectively operate every day so employees can perform to their highest ability. *_Duties and Responsibilities (these duties are a general summary and not all inclusive):_ * Collect, review, and analyze data to support office productivity reports * Ensure daily reports are complete, accurate and shared with Managers at EDMC and field offices timely * Tracks Team Members’ Productivity * Responsible for all inventory/ordering of needed materials for staff needs, printer and scanner needs * Submit requests for and follow up on all repair/service tickets * Prepare and distribute weekly rotation schedule * Track and maintain records for required yearly trainings * Create and submit Security Access Forms (SCR’s) for staff _Required Qualifications:_ * Act as a liaison to other EHS units when necessary * Ability to analyze and determine the applicability of data, to draw conclusions and make appropriate recommendations * Ability to prepare general reports * Ability to maintain accurate records * Ability to follow written and oral instructions * Ability to adjust to varying or changing situations to meet emergencies or changing program requirements * Ability to establish and maintain harmonious working relationships with others * Demonstrated problem solving skills Agency Mission: MassHealth, the Commonwealth’s Medicaid program, provides health care benefits to certain low and medium-income Massachusetts residents. MINIMUM ENTRANCE REQUIREMENTS: Applicants must have at least (A) four years of full-time, or equivalent part-time, experience in office work, of which (B) at least one year must have been in a supervisory or administrative capacity, or (C) and equivalent combination of the required experience and the substitutions below: I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience. * II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience. * III. A diploma for completion of a one year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum or one year of the required experience. * IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for two years of the required experience.* * Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.
