Excellent organizational skills Good oral and written communication skills Ability to prioritize workload Knowledge of operations of other departments in the institution through training programs and interrelated activities Applicants must have no felony convictions, to include any actions defined in 5 U.S.C 1997; or has been convicted of engaging or attempting to engage in sexual activity in the community facilitated by force, overt or implied threats of force or coercion, or if the victim did not consent or was unable to consent or refuse, or has been civilly or administratively adjudicated to have engaged in the activity described in the above paragraph Applicants must have at least (A) four years of full-time, or equivalent part-time, experience in office work, of which (B) at least one year must have been in a supervisory or administrative capacity, or (C) and equivalent combination of the required experience and the substitutions below: A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience A diploma for completion of a one year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum or one year of the required experience A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for two years of the required experience.* Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed Benefits As listed on the company website Responsibilities Performs secretarial and clerical duties of a confidential nature within the Superintendent?s Office to ensure effective operations and compliance with existing standards Compose and type correspondences for Superintendent?s Signature Schedule appointments Maintain filing system including legal cases, incarcerated individual correspondences and all files Handles all walk-in traffic to the Superintendent?s office and provide appropriate information and requests as requested Ensures adequate phone coverage and handles incoming phone calls Provide assistance to the Office Support Specialist II and Superintendent on a daily basis Maintain and track tickler system for all correspondences requiring action Attends, records, and transcribes meeting minutes in the absence of the Office Support Specialist II Process office mail by reviewing, date stamping and distributing to appropriate staff Distribute all correspondences to appropriate staff Ensure correspondence in communication log is routed and is responded to in a timely manner Log all incarcerated individual -to- incarcerated individual correspondence requests Maintain non-contact incarcerated individual database Verify through IMS system the relationship of incarcerated individuals who request to correspond with each other
