DEPARTMENT DESCRIPTION:
Cambridge Health Alliance (CHA) is a leader in Primary Care, supporting a highly diverse population across the Boston metro-north region. Today, CHA serves more than 120,000 primary care patients during more than 300,000 annual visits. Services are available at 13 primary care centers, 3 teen health centers, via telehealth, and through some very special programs, right in patient homes. You will help deliver care across the entire spectrum of primary care – with internal medicine, family medicine, pediatrics, geriatrics and women’s health services. You will be in a team-based setting, where primary care works hand-in-hand with behavioral health, pharmacy, complex care and multilingual interpreter services. CHA is also a teaching hospital, with several primary care centers hosting CHA’s Harvard Internal Medicine residency and Tufts Family Medicine residency.
Responsibilities:
• Provides a variety of administrative functions to support the work of the department Chief.
• Assists in the coordination and execution of executive-level work plans and projects. Often must work independently, with minimal direction to complete multiple projects in a timely manner as requested by the department Chief.
• Assists in preparation and follow-up of the department Chief’s meeting by preparing materials, minutes and all necessary follow-throughs.
• Serves as clinical and operating staff liaison: attends meetings, distributes pertinent information, ensures completion of identified action items and is responsible for all communication to and from staff under the direction of the department Chief.
• Attends meetings as requested to provide staff support to the department Chief. Writes and inputs all minutes, memos, correspondence and reports as directed.
• Ensures appropriate handling of confidential information and prioritizes all incoming correspondence and telephone calls to identify urgent matters.
• Organizes daily activities of office, including work processing/typing, mailings/correspondence, and purchasing supplies. Coordinates the department Chief's schedule including meetings, special events and travel.
• Maintains computer data bases.
• Creates a professional and receptive office environment.
• Coordinates all levels of detail regarding special events and functions as may be necessary.
MINIMUM QUALIFICATIONS:
Proven administrative skills acquired through a minimum of 5 years experience in an Executive Assistant or high level Administrative/ Personal Assistant capacity, preferably within a health care service industry. Excellent interpersonal, organizational and writing skills required. Familiar with standard business language and practices including but not limited to telephone courtesy, professional office behavior, customer service and principles of record/business confidentiality. Fluency in Microsoft Office and Google Suite required. Proven ability to handle many projects and interface effectively with many important constituencies required. Provide thorough, accurate and timely project completion. Experience working independently, and as part of a team.
