Procurement: With the Purchasing Module (Oracle)
Purchase Requisitions: reviews and obtains required documentation according to the Purchasing Policy
Purchase Requisitions prepares to initiate the Workflow Approval Process
Create purchase order according to procedure
Process invoices allocating costs to correct budgeted cost centers and GL accounts.
Ensures purchase order files including purchase order, receipts, requisition, quotes, risk management requirements and related requirements according to the Purchasing Policy are attached to the files
Reconcile monthly allocation account 19050
Customer Service Support
Review enterprise wide contracts to ensure compliance with the purchasing policy.
Obtain required quotes, justifications, legal review, risk management review, approvals according to the Purchasing Policy.
Enters contracts and all documents in the Cobblestone System.
Administers and follow up with contract expiration and Certificate of Insurance reminders
Maintains and updates contracts in Cobblestone
Supports AVP obtaining and inputting minority vendor tracking to monitor and obtain spend enterprise wide with minority vendors
Supports AVP obtaining and inputting sustainable initiatives in the scorecard
To undertake any other duties as necessary with the purchasing department
Education and Experience:
High School Education combined with purchasing work experience
Basic knowledge of the principles of budgeting and procurement.
Skill in using a personal computer, data management, spreadsheet and word processing software in performing duties.
Ability to organize and juggle multiple priorities; ability to communicate effectively with co-workers and vendors, both orally and in writing.
Ability to plan, organize and work according to priorities established schedules and deadlines.
Effective facilitation and personal interaction skills appropriate to achieving objectives.
Ability to assemble, organize and present statistical, financial or factual information derived from a variety of sources.
Ability to analyze administrative problems and adopt an effective course of action.
Ability to implement and evaluate new and/or revised methods, procedures and performance standards
Ability to exercise judgment and discretion in implementing and interpreting departmental policies and procedures.
