State of Massachusetts Clerk III in Lawrence, Massachusetts

MassHire Department of Career Services (MDCS) oversees the Commonwealth's network of One-Stop Career Centers, that assist businesses in finding qualified workers and providing job seekers with career guidance, as well as referral to jobs and training. MDCS strengthens the Career Center system through continuous improvement processes, and innovative business practices that maximize resources, foster partnerships, and engage employers to ensure a skilled, motivated, and adaptable workforce capable of meeting the emerging labor market needs of the Commonwealth, now and in the future. The Clerk will greet customers in a courteous and friendly manner and direct them to the appropriate service unit. The incumbent will assist customers in the membership registration process, check for completeness and schedule customers for the Career Center Seminar Orientations and the training opportunities and any available workshops. Duties include answering and routing calls to the appropriate unit and taking messages when staff is unavailable. Duties include but are not limited to: * Greet customers in a courteous and friendly manner. * Determine service needs of customer and direct to appropriate point of service. * Assist customer with completion of registration process. * Schedule customers for Orientations, Career Center Seminars, RESEA Reviews and workshops. * Check customers for membership completion in MOSES. * Answer telephone in a courteous and pleasant manner. Route calls to appropriate staff and take messages when necessary. * Accurately enter customer information into MOSES database. * Maintain confidentiality of all customers at all times. * Assists customers with signing in to meet with Employment Advisors and Counselors for individual job search needs. * Assist customers with faxing, copying and scanning documents, as needed. * Conducts reminder calls for Career Center Seminars, will schedule RESEA customers and conduct follow up calls to RESEA customers. * Prepares and provides management/JSIV’s with RESEA Crystal Reports. * Collect time sensitive RESEA documents from customers and upload them to online database. * Maintain file folders in online database. * Collaborate with RESEA team for any needs pertaining to RESEA Customers (reschedules/outreach/etc.) * Other duties as assigned.* * Preferred Qualifications: * * Knowledge of the English language including spelling, word meaning and word usage. * Knowledge of the principles and techniques of office practice, including record keeping and filing. * Proficient with all MS Office products (Excel, Word, PowerPoint), and database software (SharePoint, MS Forms, etc.) * Ability to maintain confidentiality of all customers at all times. * Ability to deal with the public effectively and courteously. * Ability to record information received accurately and concisely. * Ability to perform clerical tasks quickly and accurately. *First consideration will be given to those applicants that apply within the first 14 days. Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office work, or (B) an equivalent combination of the required experience and the substitutions below: I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience.* II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience.* III. A diploma for completion of a one year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum or one year of the required experience.* IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for the required experience.
