Your Role As a Receptionist/Dispatcher for Youth On The Move Inc., you will play a pivotal role in managing our front office and dispatch operations. You are the first point of contact for visitors and callers, ensuring smooth communication and coordination across our transportation services. You will provide a welcoming environment, handle inquiries, and maintain accurate records, ensuring that our clients, drivers, and staff are well-supported and informed. Duties and Responsibilities ? Front Desk Operations: Greet visitors and answer incoming calls with a warm, professional demeanor. Directing calls and inquiries appropriately. ? Dispatch Services: Coordinate and dispatch vehicles, ensuring timely communication between drivers, clients, and office staff. ? Appointment Scheduling: Assist in managing the schedules of drivers and service appointments. ? Customer Service: Respond to client inquiries and resolve concerns in a timely, courteous manner. ? Record Keeping: Maintain accurate and organized records of dispatches, calls, and appointments. ? Coordination: Collaborate with team members to ensure efficient operations and communication across all departments. ? Problem Solving: Handle scheduling conflicts, delays, and other operational challenges calmly and efficiently. ? Support: Assist with administrative duties as needed to support the office and operations staff. Requirements ? At least 1-2 years of experience in a receptionist, dispatcher, or similar customer service role. ? Bilingual in Spanish is a must. ? Proficient in Microsoft Office and dispatch software systems. ? Excellent verbal communication skills and a professional, customer-focused demeanor. ? Ability to multitask in a fast-paced environment and remain calm under pressure. ? Strong organizational skills and attention to detail. ? High school diploma or equivalent required. ? Friendly and approachable personality with the ability to handle a busy front desk.
