Veterans Home of Holyoke Administrative Secretary - Dietary in Holyoke, Massachusetts

The Veterans Home in Holyoke is seeking an engaging and passionate individual to be a skilled support member of our Food Services Department. The selected candidate will play a vital role in supporting the Home\'s dietary program. They will provide assistance to the Assistant Director of Food Services, Food Service Supervisor II and/or Registered Dietician, supporting department functions and purchases, and providing backup coverage for the Administrative Secretary-Facilities as required. Duties and Responsibilities (these duties are a general summary and not all inclusive): ? Provide administrative support to assigned personnel within the Food Services Department ? Responsible for screening phone calls and allocating to appropriate personnel ? Documenting diet changes in communication log and communicating changes needing attention ? Making changes in the Menu Ticketing system to reflect veterans\' current status, including weight ? Counting dining room meal tickets and updating data in relevant spreadsheet for processing by the business office ? Electronic management of food and non-food orders ? Submission of all department purchase orders to the business office, utilizing COMMBUYS and submission of orders for delivery ? Update and print sanitation reports, nourishment sheets, and processing checklists for food and non-food inventory spreadsheets ? Organization of open and closing checklist, managing documentation by completion date ? Update and email assigned spreadsheets to appropriate clinicians and non-clinical staff ? Organize birthday meals and meal tickets ? Review, revision and distribution of weekly menus ? Schedule and attend Food Service meetings and take minutes as needed, and provide meeting minutes coverage to other departments as needed ? Assist with compliance tracking for mandatory trainings, outbreak testing, and other communications from the home and Food Service leadership ? Updating of nourishment sheets, daily checklist and canteen/dining room binders ? Updating and making changes to veteran meal tickets as requested by dieticians, and entering of veteran meal choices into electronic system ? Update of food texture guidelines for Canteen ? Other duties related to the operation of the Food Services department as directed Required Qualifications: ? Knowledge of standard office software ? Knowledge of English usage, vocabulary, spelling, grammar and punctuation ? Knowledge of clerical office practices and procedures, including office filing, typing and uses of office equipment and supplies, business letter and report preparation, etc. ? Ability to exercise discretion in handling confidential information and maintain confidentiality ? Ability to communicate effectively, both verbally and in written manner ? Ability to set priorities and manage time and work in fast-paced and busy environment with multiple tasks and interruptions Preferred Qualifications: ? Personable and professional in dealing with visitors, staff, and veteran residents. ? Ability to establish and maintain professional working relationships with others. ? Skilled in the use of using a computer.
