Field Administration Supervisor

The main function of this remote position is to support, train and complement existing branch office administration. Incumbent will work directly with administrative staff, managers and the Director of Field Administration to implement and provide guidance regarding standard operating policies and procedures, help train new Office Administrators and provide administrative coverage as necessary. The ideal candidate will be dedicated, organized and able to align themselves with the goals of the business while also working with field administrators on process, system and procedural implementation.

This position is based in the South Shore, Western, Rhode Island area and requires the incumbent to spend 80% of the time each week traveling to 27 Branch Office locations in the area.

Job Responsibilities include but are not limited to:

  • Review standard operating procedures to ensure understanding and adoption.

  • Implementation and on-going execution of new programs in branch offices throughout the Company.

  • Manage the office operational coverage plan during periods of employee absence which may include providing onsite support during necessary times.

  • Collaborate with the Director of Field Administration to identify opportunities to increase efficiency at the branch level through office standardization.

  • Identify areas that may need modification and/or expansion.

  • Partner with Branch Managers in managing the performance of branch employees.

  • Supervise 1+ direct reports and/or assist with other projects as assigned.

  • Assist HR and/or the Branch Manager with the interviewing and selection of qualified branch staff.

  • Provide technical and operations support on systems such as HomeBase, Trident, Trust and Advertising.

  • Perform 80% of job responsibilities each week in the Branch Offices in the area.

  • Other duties as assigned. Qualifications:

  • 3-5 years’ administrative experience in a customer-centric business environment.

  • Experience supervising and training others or demonstrated aptitude to do so.

  • Prior real estate experience or administrative experience in a real estate office preferred.

  • Proficiency in Microsoft Office Suite and other computer programs/systems, including scanning/uploading documents and online forms.

  • Creative problem-solving skills.

  • Strong written and verbal communication skills; must have the ability to communicate well with all levels in the company.

  • Ability to interact successfully with both internal and external customers at all levels.

  • Serve as company liaison and be able to build strong relationships and provide feedback to managers and staff.

  • Ability to multi-task, prioritize and be flexible with changing business needs in a team environment.

  • Ability to work independently and as a collaborative team player.

  • Ability to travel regularly to Branch Offices and/or service centers in the region – the position will be based in the Waltham, MA New England corporate office.
