Blue Cross Blue Shield of Massachusetts Corporate Hospitality Coordinator in Hingham, Massachusetts

Position Summary:

Hospitality coordinators perform a host of duties which include, meeting and event planning, assisting internal departmental planners with their events, Ensure the clients budget is adhered to. See to client satisfaction for the scheduled event by directly overseeing the management of visitor, advising on and coordinating audiovisual services; Facilities management coordination, liaising with suppliers such as florists and internal/external caterers; working on the design of event spaces and coordinating with security as needed making sure each event and meeting complies with safety and security procedures. Assist in the management and coordination of multiple areas including Conference Centers, Training rooms and meeting spaces throughout the assigned location and portfolio.

*This role is expected to be full-time, on-site at our Hingham location. No remote available.

Key Accountabilities:

  • Manage day to day reservations of the assigned spaces within Resource Scheduler.

  • Ensure high level of customer satisfaction by promptly responding to the requests and inquiries from internal and external customers and guests utilizing reservable space.

  • Greet and attend to associates and guests of the Conference center and Training Center personally, listen carefully to their requirements, address their issues promptly, and find the right solutions to address their issues.

  • Assist internal event planners with key and signature events, manage event details, vendors and ensure proper execution of event details and overall management of event resources.

  • Daily walkthrough of building’s Conference Center, Meeting Spaces, Training Center, Wellness Centers, Cafeteria, and kitchenettes to ensure proper operating and healthy & safe standards.

  • Review Reservation Management system(s) daily and coordinate needs to appropriate parties to ensure prompt completion.

  • Handle customer complaints appropriately and effectively.

  • Partner with Facilities Management daily to verify daily room requirements and space configurations.

  • Partner with Corporate Security on event details for safety, outside visitor and coordination of building access, parking and guest registration/

  • Partner with our Food Services vendor daily to verify daily catering orders and special requests.

  • Ensure all conference room supplies are available and stocked. Maintain appropriate stock levels.

  • Attend daily regular scheduled logistical planning meetings related to Conference Center and Food Services.

  • Deal with all last-minute customer requests with professionalism, efficiency, and effectiveness.

  • Provide back up support to manage the daily conference room reservation system and locations for the enterprise-wide conference center operations as needed.

  • Assist with several special projects as requested, travel to other properties as needed.

  • Available for overtime as needed.

Qualifications

  • Working knowledge of Microsoft Office products, reservation, and billing platforms

  • Excellent organizational and detail oriented.

  • High quality of customer services.

  • Understanding of office & space daily management

  • Outstanding communication skills

  • Solid understanding of Hospitality procedures and best practices

  • Problem solving attitude.

  • Must be very flexible and respond to ever changing corporate requests in a timely manner

  • Interface with all associate business levels in an effective manner

  • Determining conference room setup changes at the last minute to accommodate leaders/associates

  • Ability to exercise sound judgement and work independently as well as in team environment

Leadership Responsibilities:

  • Ability to feel empowered to re-arrange schedules to meet ever changing business priorities

  • Ability to partner effectively with associates of other business areas

  • Ability to identify and recognize unsafe building conditions

  • Ability to delegate work when necessary

  • Ability to present facts and recommendations effectively in oral and written form

Qualifications (knowledge/skills/abilities/behaviors): .

  • Must have a valid driver’s license and ability to travel to other BCBSMA locations as needed

  • Knowledge of Corporate Hospitality best practices and procedures

  • Quickly adapts to new methods / techniques

  • Plans and organize work efficiently and effectively

  • Proven ability to work individually and within a team structure

  • Demonstrates planning and organizational skills including the ability to multitask

  • Able to be on feet for required periods of time

Education/Relevant Experience:

  • 5-10+ year of Hospitality/customer service experience

  • High level of coordination and people management

  • Food service and or catering experience

  • Familiarity with reservation and event planning software

  • College degree preferred, High school diploma or equivalent when coupled with experience.

Hourly Range: $30.65 - $37.46

The job posting range is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting. We may ultimately pay more or less than the posted range, and the range may be modified in the future. An employee’s pay position within the salary range will be based on several factors including, but limited to, relevant education, qualifications, certifications, experience, skills, performance, shift, travel requirements, sales or revenue-based metrics, and business or organizational needs and affordability.

This job is also eligible for variable pay.
