We are offering an exciting opportunity for an Office Administrator to join our clients in Franklin, Massachusetts. We are seeking a highly organized and efficient Office Administrator to manage day-to-day office operations, assist with contract filing and renewals, handle billing and financial tasks using QuickBooks, prepare reports, and support the office manager. Key responsibilities include overseeing office procedures, managing supplies, coordinating maintenance, filing contracts for the state and charities, renewing licenses, handling customer billing, generating reports, setting up donations, and maintaining data in Excel. The ideal candidate will have proven administrative experience, proficiency in QuickBooks and Excel, strong organizational and multitasking abilities, attention to detail, and good communication skills. Responsibilities:

• Assist with contract filing on behalf of the state and charities.

• Utilize QuickBooks to manage bill payment and entry.

• Conduct prep work for the accountant, no accounting background needed.

• Manage daily customer billing and money counting processes.

• Generate daily reports as required.

• Set up donations in line with company guidelines.

• Work proficiently within Microsoft Excel for various tasks.

• Collaborate closely with the office manager to ensure smooth operations.

• Carry out responsibilities related to Accounts Payable (AP), Billing, Data Entry, Invoice Processing, Microsoft Excel, and QuickBooks.

Requirements

• Proficiency in Accounts Payable (AP) processing and management

• Experience with billing procedures and data entry tasks

• Ability to efficiently process invoices and maintain accurate records

• Skilled in Microsoft Excel for data analysis and reporting

• Experience with QuickBooks for accounting functions

• Strong attention to detail and high level of accuracy

• Good organizational and time-management skills

• Ability to work independently and as part of a team

• Excellent communication and interpersonal skills

• Commitment to continuous learning and skill development
