About This Opportunity:

The Administrative Assistant for our Early Childhood/Head Start program will play a vital role in ensuring smooth operations by providing administrative support to program staff. This role involves managing communications, monitoring records/inspections for accuracy, facilitating community participation, and assisting with various administrative tasks.

Hours: Weekdays; 37.5 hours per week

Key Responsibilities:

  • Answer telephone calls promptly and accurately, conveying messages as needed.

  • Monitoring building entrances, greeting visitors, ensuring all visitors are signing in.

  • Ensure all incoming mail is properly date-stamped and matched with the appropriate application numbers.

  • Monitoring attendance phone line.

  • Assist as needed with site coverage.

  • Maintain inventory, order supplies, put supplies away and submit invoices.

  • Provide basic technical assistance with Microsoft products, scanning, faxing etc.

  • Collect monthly staff reports and classroom newsletters.

  • Encourage and organize community participation in the program (organize field trips/center events)

  • Review and process In-Kind for the site.

  • Keep the building bulletin boards and postings up to date in the center's common areas.Answer telephone calls promptly and accurately, conveying messages as needed.

What You Bring:

  • High school diploma or GED.

  • Associate degree in business or related field preferred.

  • At least three years' experience in an office setting.

  • Bilingual preferred.
