SUMMARY: The Executive Assistant provides high-level administrative support to CEO, CFO, CCO, COO, & other Senior Management as designated, by conducting research, preparing reports, handling information requests, & performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, & scheduling meetings. This position also supports projects related to Quality Management (QM) & Organizational Advancement (OA) by serving as a liaison between QM & OA functions & internal & external stakeholders with a vested interest in these functions. ESSENTIAL JOB FUNCTIONS/DUTIES/RESPONSIBILITIES: Plan, organize, & coordinate the administrative aspects of the Executive\'s office functions. Perform administrative duties by recording & maintaining information, scheduling meetings, & answering requests for information. Participate in the preparation of reports, grants, & proposals including RFR?s, EAP reports, Town Quarterly reports, federal grants, foundation proposals, etc. Organize & manage company policies & procedures, maintaining current policies & establishing a distribution system to ensure that programs & departments have current policies & procedures. Review, monitor, follow-up, & report on selected operational functions including incident reporting, safety/security checks, & other related functions as directed by the CEO. Assist in preparation of Board Meeting agenda, assemble data, distribute of agenda packets & related correspondences, & oversee meetings arrangements. Take, prepare, & maintain meeting minutes when necessary. Act as the Executive Assistant to the CFO, CCO, COO, & other senior management, as necessary. Assist in maintaining appointment calendar, courteously screening visitors, & calls, & managing the time of the President/CEO & other senior management members as needed. MINIMUM KNOWLEDGE, Experience, & SKILLS REQUIRED: The requirements listed below are representative of the knowledge, skills, &/or abilities required to perform the job. Education: Business/office management background equivalent to a bachelor\'s degree in a business-related field. Experience: Six (6) years of Executive Assistant (or similar) experience. Previous work experience in a healthcare setting preferred. Experience with MS Office (Outlook, Excel, & Word) & accounting software. Skills: Excellent verbal & written communication skills. Strong customer service & interpersonal skills. Attention to detail & decision-making skills to respond to pressure situations. Organizational & multi-tasking skills with ability to handle multiple projects at once. Must be proficient in Microsoft Office applications. Must be able to follow instructions. Demonstrated time management skills to plan, manage, & coordinate executive\'s activities.
