Description

We are seeking a highly organized, detail-oriented, and proactive Executive Assistant to provide comprehensive support to a C-Suite level executive in our Danvers, MA office. The ideal candidate will have exceptional communication skills, a strong ability to multitask, and experience in a fast-paced environment. This role requires a high level of discretion, professionalism, and the ability to anticipate the needs of the executive.

Responsibilities:

The Executive Assistant will manage the executive’s calendar, including scheduling meetings, appointments, and travel arrangements. You will prepare and edit correspondence, communications, presentations, and other documents, and coordinate and manage logistics for meetings and events, including preparing agendas, taking minutes, and following up on action items.

As the primary point of contact between the executive and internal/external stakeholders, you will screen and prioritize incoming communications, ensuring prompt and appropriate responses. You will draft and distribute communications on behalf of the executive. Additionally, you will assist in the planning and execution of projects, ensuring timely completion of tasks and milestones, tracking progress, and providing regular updates to the executive. Conducting research and compiling data to support decision-making will also be a key part of your role.

Maintaining a high level of confidentiality and discretion is paramount. You will handle sensitive information with the utmost care and professionalism. Overseeing the organization and maintenance of the executive’s office, managing office supplies and equipment, and coordinating with other administrative staff to ensure smooth operations will also be part of your duties.

Requirements

  • The successful candidate will have a Bachelor’s degree in Business Administration, Communications, or a related field, though equivalent work experience may be considered.

  • minimum of 5 years of experience as an executive assistant, with a proven track record of supporting C-Suite level executives, is required.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software is essential.

  • Excellent organizational, time-management, and multitasking skills, along with strong written and verbal communication skills, are a must.

  • The ability to work independently as well as part of a team, and maintaining a high level of integrity, discretion, and professionalism, are crucial for this role.
