Eliot's Outpatient Clinic is seeking an experienced Office Manager. Candidates will have strong administrative skills, excellent communication skills and a commitment to working with a quality team of professionals. Computer literacy and skill in the use of computers and related software applications and office equipment is a must. Our multi-disciplinary team of psychiatrists, psychologists, social workers, mental health counselors and other professionals administer a full range of clinical and support services, resulting in a comprehensive collaborative approach to treatment.

Responsibilities:

  • Supervise the Administrative Office Specialists and Administrative Assistants, which typically includes recommendations for hiring, firing, performance evaluation, training, work allocation, and problem resolution.

  • Manage daily administrative operations of the clinic including establishing work priorities; assist in resolving problems related to the day-to-day operations of the unit.

  • Ensure the accurate and timely flow of data, financial, and insurance benefit information between the client, the clinician, Accounts Receivable, the Business Office and other relevant parties.

  • Ensure data integrity and maintain quality controls for all data and billing.

  • Conduct financial interview with clients as required.

  • Review outstanding client self-pay fee balances, prior authorizations, for resolution.

  • Establish payment plans with clients as necessary.

  • Oversee, coordinate, maintain, and/or process payroll time sheets, sick and annual leave documents, travel reimbursements, purchasing documents, and/or employment documents for the staff he/she supervises.

  • Assist with the development and implementation of reporting procedures as requested; oversee maintenance of clinic records.

  • Oversee and provide personal computer functions such as scheduled and special reports, correspondence, and database management.

  • Coordinate space assignments for the clinic and oversee building security, safety, and maintenance.

  • May participate and/or serve on committees and task forces.

  • Comply with all statutes and regulations relevant to the maintenance of clinical standards in the Commonwealth, e.g. mandated reporting and duty to warn.

Schedule: Monday-Friday 9am-5pm

Compensation: Salary based on experience

  • Experience with recruitment, training, disposition, supervision, evaluation, and discipline of support staff.

  • Experience planning, organization, and control of office staffing levels and patterns.

  • Experience with integrated management of all fiscal, administrative support, and operational aspects of a centralized administrative office.

  • 2 years: Management expertise in either a medical billing, clinic operations, office management, fiscal services or administration background
