Robert Half Office Administrator in Concord, Massachusetts

Description

We are offering an opportunity for an Office Administrator to join our team in the greater Concord, Massachusetts area. This role is essential to the smooth operation of our office environment and requires excellent organizational and communication skills. The successful candidate will be expected to perform a variety of tasks related to office administration, report writing, and data entry

Responsibilities include:

• Managing incoming phone lines and handling client inquiries

• Assisting with scheduling needs, primarily for clients finalizing wills and trusts

• Utilizing QuickBooks for data entry, light reconciliations, and processing checks

• Completing payments to vendors in a timely and accurate manner

• Assisting with various administrative projects as needed

• Ensuring all filing and data entry projects are completed accurately and efficiently

• Providing high-quality customer service and administrative support

• Proficiency in Microsoft Office Suites to manage, organize and update relevant data

• Utilizing administrative skills to support office functions and maintain office records.

Requirements • Proficiency in Microsoft Office Suites including Word, Excel, PowerPoint and Outlook

• Strong customer service skills with a proven ability to handle queries and complaints effectively

• Experience using QuickBooks for financial management and invoicing

• Knowledge of administrative office procedures, systems and equipment

• Prior experience in administrative assistance, preferably in a billing or finance-related role

• Excellent communication and interpersonal skills

• High level of accuracy and attention to detail

• Ability to work independently and as part of a team

• Strong organizational skills with the ability to manage multiple tasks and deadlines

• Ability to handle confidential information with discretion and professionalism

• High school diploma or equivalent education level. Higher qualifications in business administration or related field will be a plus.
