Job Description

The Temporary Administrative Assistant will support the Pine Manor Institute by providing direct assistance to professional staff members. This role includes a variety of administrative tasks, such as budget oversight, scheduling, drafting communications, and managing office needs. The ideal candidate will be highly organized, detail-oriented, and capable of managing multiple tasks efficiently.

Work Environment

This position will be based on-site at the Pine Manor Institute at Boston College. The environment is that of a start-up, requiring adaptability and a proactive approach to problem-solving.

Essential Functions

  • Monitor and reconcile budgets, generate financial reports from PeopleSoft.

  • Schedule and coordinate meetings, manage daily office operations, and maintain the Academy calendar.

  • Draft memorandums and emails, oversee communications, manage the website, and engage in social media.

  • Assist with maintaining and updating the Slate database and manage the shared Google Drive.

  • Coordinate office projects and tasks in coordination with the Directors.

  • Maintain office supplies inventory and place orders as needed.

  • Supervise student employees, plan work schedules, provide training, write performance evaluations, and maintain employment files/records.

  • Submit and manage undergraduate and graduate hires in Kronos/PeopleSoft.

  • Coordinate travel arrangements, vendor payments, staff reimbursements, and P-Card reconciliation.

  • Provide support with preparing and submitting Annual Performance Appraisals.

  • Process the temporary hiring of summer academy instructors and assist with CORI checks and other requirements for temporary employment.

  • Schedule and confirm interviews.

Requirements

  • At least 2 years of administrative experience, preferably in an educational setting.

  • Strong problem-solving skills and the ability to handle sensitive information confidentially.

  • High level of accuracy and attention to detail.

  • Excellent written and verbal communication skills.

  • Strong organizational skills with the ability to multitask and prioritize work effectively.

  • Ability to work collaboratively with colleagues, students, and external partners.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace (Docs, Sheets, Drive), and PeopleSoft.

  • Experience with Slate database is a plus.
