Job Description
Administrative Assistant to the Dean
This position provides administrative support to the Dean and the Associate Deans in the Woods College of Advancing Studies. Primary responsibilities include managing and maintaining the Dean’s calendar, the Associate Deans’ calendars, and the overall School calendar. This includes scheduling and coordinating appointments, events, all one-on-one meetings, as well as all meetings of the school and of the Deans. Other major responsibilities are managing and distributing information school-wide, making meeting arrangements, making travel arrangements, recording and disseminating notes for high-level meetings, as well as managing various operational tasks that support the smooth functioning of the School. The Assistant coordinates all office moves and works with the senior team (Dean and Associate Deans) to support the hiring process, scheduling phone, Zoom, and in-person interviews and onboarding new staff. They handle confidential information and situations requiring the attention of the deans, and provide general support for each Associate Dean’s area during peak times or when positions are vacant. The position provides support on creating presentations and reports, using the Microsoft Office Suite. They manage school-wide operations and logistics, including ordering office supplies, overseeing the mailroom, managing the keys, and serving as facilities, ITS, and housekeeping liaison.
Hiring Range: $30.03/hr to $37.53/hr. Pay rate commensurate with relevant experience.
Requirements
Bachelor's degree preferred
At least three to five years’ high-level administrative support experience in an academic or similar environment
Demonstrated success working in a fast-paced, team-oriented, deadline-driven environment
