Job Title: Administrative Assistant
Job Description
We are seeking a dedicated and professional Administrative Assistant to manage the front desk, provide administrative support, and assist with HR functions. This role requires excellent multitasking abilities and a customer service-oriented mindset. The ideal candidate will have experience in managing office supplies, processing mail, organizing files, and supporting various departments as needed.
Responsibilities
Operate all aspects of the switchboard and handle multi-tasking assignments in a professional manner.
Greet guests, assist and provide service to customers, applicants, and visitors, ensuring they are handed off to the appropriate internal contact.
Process and organize incoming and outgoing mail, including mailing invoices.
Maintain equipment in the central supply room.
Provide administrative services such as establishing and maintaining files, composing and word-processing documents, and performing various scanning tasks on demand.
Assist with catering, confirm billing for correctness, coordinate meeting room needs, and perform general cleanup in meeting areas.
Assist with office supply orders, organize and maintain office and kitchen supplies by checking stock to determine inventory levels, anticipate supply needs, place and expedite orders, and verify receipt of supplies.
Maintain and organize employee records and files for HR.
Act as a backup to help manage the Service Award process, order gift cards and other gifts, and manage distribution of gifts to recipients' managers in advance of their anniversary date.
Aid in running standard HR reports.
Work with HR team members to help with onboarding and termination of employees.
Help maintain benefits brochures, forms, and information to support Compensation and Benefits processes.
Assist with events as needed.
Provide backup assistance for various departments as required.
Carry out other duties and responsibilities as may be assigned.
Essential Skills
Proficiency in front desk operations and administrative support.
Experience with Microsoft Office.
Ability to work a 30-hour work week with potential hours of 8:00am-2:00pm M-F or 8:00am-2:00pm M,W,F and 10:00am-4:00pm T,Th.
Associates degree or equivalent experience.
2+ years of experience with front desk and administrative responsibilities.
Pay and Benefits
The pay range for this position is $18.00 - $20.00/hr.
