Advanced proficiency with MS Office (including Excel and PowerPoint), email, and web and desktop publishing. Facility with learning new applications. Proficiency with multimedia software desired.

The Staff Assistant III provides daily administrative and web support for the Harvard College and Harvard Summer School Writing Programs, which together are staffed by 60+ teachers and serve approximately 2500 students per year. The Staff Assistant III will:
Provide clerical support for various digital projects, including electronic file organization, collecting and archiving Program materials, compiling Program data, and researching and developing digital tools.
Implement updates to Program’s websites.
Perform layout and design, as well as editing and proofreading of Program documents and publications; work with HUIT and various Harvard offices to produce and deliver electronic and print promotional materials.
Create and maintain annual job applicant database; request and manage applicants' supporting materials.
Provide occasional assistance to one or two Writing Program faculty with logistics for their community engagement courses: coordinate field trips and/or trainings for students; do event planning for end-of-semester capstones; coordinate advertising; reserve rooms; arrange photography or video of course activities for Program publicity.
Provide support for time-sensitive projects such as course registration, coordinating information from multiple sources, checking website and other platforms for accuracy, and responding quickly to necessary changes.
Provide assistance with logistics for special events: communicate with planning committees; coordinate advertising; collect RSVPs; reserve rooms; organize A/V materials; order refreshments.
Contribute to the summer administration of the Writing Exam, a placement exam administered to 1600+ incoming students: field questions from students via email and telephone; coordinate spreadsheets and data as needed.
Manage transfer student database; gather, organize, and distribute transfer students' materials.
Liaise with FAS Classrooms to schedule appropriate classrooms for all Expos Studio 10, Expos Studio 20, Expos 20, and Expos 40 courses offered during the regular academic year (approximately 150 courses).
Create electronic course evaluations to administer to enrolled students. Download and distribute results to faculty.
Answer telephones, respond to email, distribute mail, inventory and order office and kitchen supplies, renew subscriptions, and oversee maintenance of office equipment (photocopiers, telephones, and printers).
Provide customer service in the reception area: greet and direct visitors, and answer visitors’ questions.
Submit work orders and communicate with the building manager and occupants about maintenance issues within One Bow Street.
Prepare requisitions for guest speaker honoraria and student prizes.
Report to the director of the Harvard Summer School Writing Programs during the summer.
Work occasional weekends and evenings.
Perform other duties as required.
