  • Additional education or progress toward relevant professional certification may count toward experience.

  • Advanced skills in Microsoft Office preferred, particularly use of PivotTables. Experience with Power Query, PowerPivot, Power BI, or VBA/Python, or other reporting tools, such as Tableau or Oracle Analytic Server is a plus.

  • Strong written and verbal communication skills with a demonstrated ability to present information in a clear and concise manner.

  • Demonstrated agility working with systems and reporting.

  • Ability to handle complex and confidential information with discretion and judgment.

  • Excellent organizational and time management skills.

  • Experience with fund accounting or sponsored accounting is a plus.

  • Experience in a research environment is a plus.

  • Experience auditing or responding to an audit is very helpful.

  • Problem-solving orientation and ability to be thorough and detail-oriented, but also summarize and convey the bigger picture.

  • Customer service orientation with a collegial and collaborative approach to working with others across the University.

Position Description:

Reporting to the Senior Director of Research Administration at the Harvard John A. Paulson School of Engineering and Applied Sciences (SEAS), the Senior Compliance and Reporting Specialist will conduct research administration compliance and monitoring activities for SEAS with an emphasis on research finance. The position will work closely with Harvard’s Office of Sponsored Programs and the SEAS Research Administration (RA) Team to ensure research administration activities comply with sponsor (federal and non-federal) and university regulations and policies. This role will focus on areas of effort certification, subrecipient monitoring, financial compliance monitoring, as well as financial audits, reporting and award management approvals.

Oversight, Review, and/or Management of Salary Certification and Effort Reporting:

  • Quarterly and Annual federal effort reporting

  • Quarterly Professional Employment Organization attestations

  • Annual faculty supplemental salary process

  • Committed Effort monitoring, including reviews of overcommitments of faculty

  • Faculty salary incentive program

  • Administrative and student salary on sponsored projects

  • In conjunction with other SEAS offices, review and approve over 1.0 FTE teaching requests for postdocs

  • E-Verify compliance

    Reporting and Monitoring:

  • Coordinate quarterly subrecipient monitoring activities and serve as the SEAS representative on the University’s Subrecipient Monitoring Committee.

  • Run monthly and quarterly monitoring reports as identified by the SEAS research administration management team and collaborate in establishing appropriate next steps as needed.

  • Respond to OSP quarterly monitoring activities by ensuring reviews are complete and following-up with grant managers and supervisors in a timely manner if action is required.

  • Serve as OSP contact and complete Small Business Subcontracting Plan Reports as required.

  • Coordinate biannual graduate student tuition allocation process with SEAS finance.

  • Financial Compliance

  • Review cost transfer documentation and make recommendation to the Senior Director for final approval of under 90 day and late action memo cost transfers.

  • Coordinate the responses relating to audits or similar third-party requests (UG Single audit, financial reviews, etc.), including collecting and reviewing responses in coordination with central offices.

  • Advise as appropriate on financial compliance questions related to allowability of costs on sponsored awards and/or escalate as needed.

  • Pre-award

  • Award management review and approvals (NCEs, At-Risk Accounts, etc.)

  • Serve as backup Dean Designee for proposal and progress report reviews.

    Assist RA Management Team in:

  • Identifying needed areas of additional expertise and support and possible solutions.

  • Ensuring changes in sponsor and university financial systems, policies and procedures are communicated to SEAS stakeholders.

  • Assisting with process improvement and documentation in RA and related areas.

    Other duties to be assigned as needed.
