Additional Qualifications and Skills:

  • Demonstrated interest or proven experience in employee engagement or adjacent fields (e.g. human resources, student affairs, volunteer engagement).

  • Knowledge of Microsoft Office Suite, intermediate Excel skills.

  • Strong;

  • time management and organizational skills, and the ability to prioritize competing demands in a fast-paced environment.

  • interpersonal skills, with the ability to collaborate effectively in a team environment and establish rapport with multiple stakeholders.

  • Proven track record of successfully managing multiple projects simultaneously, meeting deadlines, and achieving deliverables, and success in creating and documenting processes.

  • Excellent communication skills, with demonstrated ability to articulate clear and compelling messages and effectively leverage a variety of communication channels.

  • High level of diplomacy, organizational awareness, discretion, and problem-solving ability.

  • Experience gathering and interpreting feedback and data to inform strategies and evaluate effectiveness.

  • Familiarity with financial management principles, including budgeting and expense tracking for programs and events.

Project, Program, and Event Management (70%)

  • Lead and administer a portfolio of ongoing initiatives and events, including but not limited to:

  • Partner and Liaison (PAL) Program, which pairs a new hire with an experienced HUIT colleague to share organizational knowledge, provide networking opportunities, and ensure that new employees have access to the resources and support they need to be successful.

  • New Hire Gift Program, which helps welcome new staff members to the HUIT community with their choice of HUIT-branded SWAG.

  • Donut, which leverages Slack to pair staff members on a biweekly basis for virtual coffee chats.

  • Amazon Gift Card Program, which provides recognition for above and beyond work and exceptional demonstration of our organizational values.

  • HUIT Book Club, which is facilitated by members of the Senior Leadership Team and creates the opportunity for staff to engage together around a common theme.

  • Annual HUIT-wide Winter Holiday Party and Summer BBQ.

  • In collaboration with the Associate Director, develop a program that offers volunteer opportunities for staff, taking on the ownership and administration of the program once launched.

  • Serve on the planning team for large events and gatherings, including but not limited to:

  • Fall, Spring, and Summer Town Hall meetings, hosted by our Vice President and Chief Information Officer.

  • The annual Harvard IT Summit, which brings together over 1,000 members of the IT Community for a day-long conference devoted to learning and connection.

  • Co-advise the HUIT Staff Council, which is a group of roughly 20 staff members who partner with the HUIT Senior Leadership Team in thinking about the staff experience.

  • Offer advising, support, and staffing for in-person, hybrid, and virtual events hosted by various sponsors, including the HUIT Administration Team, Staff Council, Senior Leadership Team, and the Office of the University CIO.

  • Maintain an event tracker to give insight across the organization into planning efforts underway and to avoid conflicts.

  • Track, manage, and reconcile budget and expenses. This role is responsible for appropriate financial stewardship of Harvard’s resources and must understand and follow all financial policies.

  • Perform other related duties as required in support of the Employee Success Team and HUIT Administration.

  • Assist with special projects as needed.

Internal Communications (20%)

  • Support internal communication strategies to ensure staff are informed of upcoming HUIT offerings, in addition to opportunities that facilitate connection to the broader University community.

  • Contribute to an editorial calendar that supports planning and coordination amongst content creators.

  • Develop

  • clear and timely messaging to drive employee engagement through various channels, including email, intranet, newsletters, Slack, and websites.

  • collateral, including presentation decks, dashboards, posters, and other media.

  • In coordination with;

  • HUIT Communications, leverage graphic/visual elements to both enhance communicative efforts and strengthen the brand identity of engagement initiatives.

  • the Staff Council Leadership Team, maintain and enhance the Council’s intranet presence.

  • Liaise with the Harvard Trademark Office to ensure compliance with all SWAG created for engagement initiatives.

  • Develop collateral, including presentation decks, dashboards, posters, and other media.

Assessment (10%)

  • Coordinate assessment efforts across programs and initiatives to measure the overall efficacy and outcomes of employee engagement efforts.

  • Collaborate with Administration, HR, and Communications colleagues to help tell a cohesive and compelling story about the HUIT employee experience using feedback and data.

  • Identify areas of opportunity based on evaluative efforts.

  • Staff the HUIT Voice engagement survey committee.

  • Contribute employee experience and engagement content to reports, dashboards, and presentations.

This role manages a portfolio of programs and initiatives throughout the employee lifecycle that help make HUIT a welcoming, engaging, and inclusive place to work and an employer of choice for information technology professionals.

They maintain effective organizational systems, which include standard operating procedures, tracking and communicating work in progress, measuring outcomes, and maintaining orderly and up to date records and documentation.
