  • Experience in a computer related field and/or experience in user services and technical support environment strongly preferred.

  • Must have the ability to interact with technical staff and work in a team-oriented, customer-focused environment. 

  • Ability to demonstrate an extraordinary level of organization and should have experience in a fast-paced environment. 

  • The ideal candidate is self-directed, can prioritize duties, and meet multiple deadlines. 

  • Need to be able to use a high degree of judgment, work independently with minimal supervision, and handle complex and confidential information with discretion. 

  • Knowledge of Microsoft Office suite 

  • A willingness to work occasional evenings and weekends if ever needed to meet clients’ deadlines. 

  • Position does require an onsite presence (may be required to work 5 days onsite) 

  • Must be able to bend, push, pull, stoop, climb, stand and lift up to 45 pounds frequently (occasional heavier items). 

  • Experience with SCCM and JAMF/Apple School Manager a plus. 

  • Experience with financial systems a plus.

Principal Duties and Responsibilities:

Procurement: 

  • Serve as a procurement expert for the supported school/units, overseeing the acquisition of thousands of packages per year, including 3500+ computers.  

  • Act as a trusted advisor to our university procurement contacts and local technical teams. 

  • Purchase all supported and requested computer-related hardware (computers, peripherals, supplies, etc.) and software via documented procurement processes. 

  • Track and monitor orders 

  • Perform PCard reconciliation per documented processes. 

  • Utilize Harvard’s procurement systems to process invoices and oversee financial transactions. Systems include Buy2Pay and Concur.   

  • Receive all hardware/software orders within Harvard’s procurement system, ServiceNow, upon receipt of the item. Includes asset management logging, ticket management, and entry into our desktop management tool (Apple School Management), where applicable. 

  • Identify, analyze, and resolve discrepancies within Harvard’s procurement system. 

  • Assist in capturing and analyzing financial expenditure patterns, as well as order-driven data.  

  • Develop procurement reporting for customers and HUIT leadership. 

  • Ensure financial compliance with university policies and procedures and applicable legal rules and regulations. 

  • Work with procurement and shipping/freight vendors to resolve all related issues 

Inventory Management: 

  • Maintain accurate and current records within the ServiceNow ticketing system. 

  • Coordinate package delivery including labeling, addresses management, and resolving issues & questions. 

  • Work with vendors and internal technology partners as appropriate to support departmental activities. 

  • Provide inventory management support for HUIT’s Technology Partner Services team including receiving, labeling, space allocation, and communication. 

  • May be required to handle offsite emergency procurement requests. 

  • Prepare and allocate space for incoming deliveries.  

  • Additional tasks as required.

Job Summary:HUIT is responsible for procuring approximately 1800+ unique orders every year for the various schools and organizations HUIT supports. This translates into over 10,000+ packages that need to be processed. This position will be responsible for supporting the practices involved in processing these orders including procurement system transactions, asset and inventory management, order labeling, financial tool management, and ticket processing.
