Additional Qualifications and Skills:

  • Experience with procurement to payment processes strongly preferred.

  • Bachelor’s degree preferred.

  • Demonstrate strong foundation knowledge in accounting, and interest in furthering skills in financial accounting.

  • Understanding of financial operations and transactions, must be a detailed oriented team player, follow-through and close the loop consistently, and can deliver accuracy on complex transactions under tight timeline.

  • Experience in B2P environment strongly preferred especially in STEM (Science, Technology, Engineering and Mathematics) areas.

  • Strong communication, written and verbal, listening, and interpersonal skills, with experience in servicing and handling complex issues thoughtfully, handling difficult issues with tact, and working with difficult people with positivity and respect.

  • Strong commitment to outstanding services with a learning and growth mindset to reach out and connect and providing positive experience to all B2P users including faculty, students, researchers, Teammates, administrative colleagues, and peers across campus. This commitment requires ongoing effort and skill development to better understand and adapt to HSCRB’s evolving business needs in our regulatory environment.

Specific job responsibilities include:

  • Respond to customer inquiries relating to B2P systems functions navigation and full life cycle of business processes, invoices, payments, holds, kick-outs), PCard, Corporate Card, and reimbursement.

  • Review, process, and approve day-to-day purchase requisitions, payment requests, Corporate Card, and PCard purchases, travel, and other out-of-pocket reimbursement requests; ensure requests are thoroughly reviewed, documented, and approved in compliance with the guiding policies and processes in a timely manner.

  • Work through complex transactions including equipment purchases and contract reviews, facilitate approval workflow; work closely with the ABO Manager to ensure the reperformance standards for financial transactions are always met.

  • Coordinate with all labs on department-supported purchases, including but not limited to lab coats, CO2 for incubators, Biosafety cabinet certificates, equipment, department Service Maintain Service Maintenance Contract renewals, coordinate with multi-user license purchases.

  • Regularly resolve holds, kick-outs; review fund balance available, cost allocation, object code use; assess exceptions for escalation and resolve scenarios to ensure all financial policies are followed and customers are well-served; review aging receivables, escheatable, and recharge to ensure transactions are posted accurately in a timely manner, outstanding commitment to minimally outstanding.

  • Assist the ABO Manager in monthly account reconciliation.

  • Assist the ABO Team Leader in maintaining the Master recharge workbook and coordinate the monthly billing and reconciliation activities.

  • Assist the ABO Team Leader in implementing Billing Agreement invoicing or payment, and ensure each payment and invoice are accurately processed, reconciled, and closed in accordance with the agreement and the approval is documented and deposited in SharePoint for tracking and auditing.

  • Support ad hoc projects and perform duty and tasks as assigned within the scope of the FA.

Job Summary:

The Harvard Department of Stem Cell and Regenerative Biology (HSCRB) is a cross-school department, committed to the advancement of biomedical research and to delivering innovative teaching and training at the interface of biology and medicine.

Reporting to the Accounting and Business Operations (“ABO”) Manager, the Financial Associate (FA ) has a dotted-line reporting to the ABO Team Leader, and plays a critical role in supporting HSCRB faculty, researchers, staff, and students. The FA will support all B2P functions and services with responsibilities including, but not limited to, attending to B2P user inquiries, the financial lifecycle of purchase to payment, payment and invoicing for billing agreement and service centers recharge, financial accounting and report reconciliation, as well as financial administration of PCard, Corporate Card and reimbursement.
