Additional Qualifications and Skills:

  • Proven ability to work in a fast paced always changing environment, meeting deadlines with minimal supervision.

  • A detail-oriented self-starter with prior experience in administrative support, preferably in higher education or the nonprofit sector

  • Proficiency in the MS Office Suite including word, excel, and powerpoint. Skill in troubleshooting technical and operational challenges.

  • Excellent organizational skills with meticulous attention to detail and accuracy

  • Must be able to handle private information with discretion

  • Strong oral and written communication and relationship building skills

  • Individual who enjoys problem-solving, as well as, identifying and implementing improvements to systems and processes.

  • Someone who exhibits sound judgment, diplomacy, and tact with the ability to prioritize and make decisions

  • Experience and ease engaging with all levels within an organization

  • A team player with a positive attitude capable of cultivating productive working relationships across the School.

Duties include, but are not limited to, the following:

  • Provides logistical management of the office and anticipates the needs of the dean to ensure smooth day-to-day functions

  • Maintains the dean’s calendar, including scheduling meetings and appointments, and exercises discretion in committing time and evaluating needs.

  • Coordinates domestic and international travel arrangements involving multiple travelers and offices.

  • Ensures that the dean is prepared for meetings by preparing briefings and other materials in advance

  • Prepares meeting materials and takes notes of discussion; prepares the initial draft of minutes and summaries.

  • Organizes and manages schedules and logistics for complex meetings throughout the year

  • Serves as an ambassador for the dean, ensuring positive interactions with faculty, staff, and others inside and outside the Harvard community. This includes receiving and screening the dean’s phone calls, visitors, and emails, answering a variety of questions with tact and diplomacy, taking messages, and directing calls appropriately for resolution.

  • Oversees universal dean email account, triaging incoming emails and ensuring that messages are responded to in a timely manner

  • Answers questions/inquiries as needed. Researches and follows up on inquiries that require more in-depth information

  • Performs research, prepares presentation materials

  • Drafts and edits correspondence; handles highly sensitive and confidential materials.

  • Tracks expenses and prepares, reconciles, and submits expense reports

  • Develops and maintains office systems and procedures, including management and archiving of dean's paper and electronic filing systems

  • Facilitates communication between Dean’s Office and other Harvard Griffin GSAS offices, additionally serving as key contact to a number of University offices and external constituents

Reporting to the Chief of Staff, the Executive Assistant performs a wide range of complex administrative duties while supporting the Dean of the Graduate School of Arts and Sciences with tact and discretion.
