High school diploma or above. Three years of administrative and/or events planning and communications experience. Education may count toward experience.

Additional Qualifications and Skills:

Event planning and/or communications experience in higher education preferred. Competency with MS Office Suite (particularly Word and Outlook), remote communications and hosting virtual meetings. Experience hosting hybrid meetings a plus. Willingness to learn new technology. Experience with Harvard media services and events planning resources helpful.

Demonstrated capacity to adjust to shifting priorities and work on multiple tasks simultaneously. Demonstrated experience with recordkeeping, tracking and organizing materials; accuracy and attention to detail. Must be able to work independently and as part of a team. Familiarity with Jewish dietary laws or willingness to learn.

Additional Information:

This is a ten month term position.

The Events Coordinator job responsibilities include:

Events

  • Takes the lead in coordinating Center-sponsored events (including visitor welcome receptions, public lectures, speakers and special events for modern Hebrew and Yiddish language classes and for student research groups, etc.).

  • Schedules space, books hotels, arranges travel, orders catering, for in-person events.

  • Staffs in-person events when possible.

  • Obtains Webinar licenses for virtual events and distributes appropriate Webinar links to various participants, and sets up presenters as cohosts.

  • Hosts Webinars when possible.

  • Arranges for Webinar captioning, when needed.

  • Communicates with invited speakers, guests and faculty members about details of visits/talks.

  • Coordinates/arranges appropriate media services for events.

  • Communicates with host faculty and speakers to make speaker arrangements.

  • Communicates with cosponsoring departments about arrangements and division of duties.

  • Keeps track of Jewish studies events shared Google calendar.

  • Works closely with Events and Communications Coordinator to prepare promotional event notices to appropriate audiences and arranging event logistics.

  • Works closely with Program Coordinator to provide information about honoraria and events-related financial transactions.

  • Assists with gathering events-related information for and reviewing materials for departmental newsletter, particularly around events.

  • Staffs in-person events and checks on details.

  • Some after-hours work may be required.

General

· Works as part of a team with office staff, as well as independently. Other job duties as required.

Job Summary:

Reporting to the Administrator, the Events Coordinator is an integral member of the Center for Jewish Studies, handling logistical and administrative tasks to ensure smooth and efficient daily operations.
