Recruitment and Onboarding

  • Steward the search process for the recruitment of new Faculty Deans, which includes managing advertising and outreach, communicating with candidates, scheduling interviews, organizing materials for candidates and for the search committee, coordinating and consolidating search committee and community feedback about the candidates, checking references, and preparing appointment letters

  • Process all appointments related to Faculty Dean hiring, recognition, and transitions

  • Liaise with University Partners, such as the Office of Physical Resources and Harvard University IT to coordinate housing, parking, computer set-up, security access, and other logistical onboarding needs for new Faculty Deans

  • Organize efforts for new Faculty Dean Orientation, including outreach to facilitators and presenters, pre-meetings, material preparation, scheduling, and logistical execution of the orientation

Faculty Dean Reviews

  • Manage the annual review process, by convening stakeholders, organizing materials, scheduling meetings, and preparing reports

  • Coordinate the reappointment process for eligible faculty deans, including support for organizing and convening the 4th year review committee

  • Collaborate with the Office of Faculty Affairs, Dean for Administration and Finance, and Office of General Counsel to provide recommendations to the Dean of the College on HR matters such as faculty dean leaves, performance interventions, or other special circumstances

  • Support Dean of the College in recognizing faculty dean performance and service

Administrative and Operational Support

  • Serve as the primary point of contact for faculty dean inquiries and liaise with appropriate College team to provide consistent and timely responses

  • Prepare, coordinate, and update materials, including Faculty Dean Handbook, onboarding materials, and website

  • Track Faculty Dean terms of service and timing of reviews, and manage all record keeping, including personnel files, housing agreements, and committee service

  • Coordinate with Office of Physical Resources and Planning of refurbishment and upkeep of Faculty Dean residences; Support move-in and move-out logistics and reimbursements, including appropriate residency licenses and affirmations

  • Support faculty dean transitions by processing system adjustments, organizing events, and drafting communications for post-service expectations and opportunities

Meeting and Event Management

  • Provide administrative support for monthly Faculty Dean meetings and bimonthly Faculty Dean Leadership Council (FDLC) meetings; Schedule meetings, prepare materials, document meeting notes and action items

  • Work with the Faculty Dean Leadership Council Chairperson, Dean of the College, Chief of Staff, and other College Partners such as the Dean of Students and the Dean of Undergraduate Education, to identify topics and develop agendas for FDLC meetings

  • Manage all aspects of faculty dean events, including the annual faculty dean retreat, the end of year celebration, and other events as determined by the Dean of the College

Program and Projects Support

  • Support the introduction, development, reimagination, and expansion of programs or projects that the Dean of the College desires to implement with the Faculty Deans

  • Other duties as assigned

Job Summary:

The Director of Faculty Dean Operations has broad responsibility for supporting the Dean of the College in their hiring, on-boarding, and oversight of the twenty-four faculty deans of the residential Houses at Harvard College. This position reports to the Harvard College Dean’s Chief of Staff and provides management of human resources and operational functions for faculty deans, from recruitment through conclusion of service. The Director of Faculty Dean Operations will provide support for administrative processes, meetings, and event management. The role will also implement Harvard College Dean directed initiatives across the Houses and manage projects that arise as needed.
