  • 5+ years of experience in administrative support role(s) and/or related experience is required.

  • Education beyond high school may count toward experience.

  • Microsoft Office (Word, Excel, PowerPoint, and Outlook) experience is a must.

Additional Qualifications and Skills:

  • Proven communication and interpersonal skills (written and verbal) with experience providing complex administrative support.

  • Must be highly organized, detail-oriented, and able to work independently.

  • Must possess the ability to establish and promote good working relationships with colleagues, both peers and more senior staff and alumni.

  • Must be flexible and able to prioritize and handle multiple tasks in a fast-paced environment from different supervisors with competing priorities.

  • Must be able to take initiative and work independently to meet deadlines and also be a strong team player.

  • Ability to work overtime (including weekends) during peak times (quarterly production of class notes).

  • The ability to handle highly confidential material with tact and discretion is required.

  • Excellent customer service skills required for frequent interaction with donors, alumni volunteers, and colleagues. Anticipates and resolves problems to effectively fulfill these responsibilities.

  • Familiarity with Advance Web or other Customer Relationship Management programs/reporting tools and a working knowledge of complex excel functions a plus.

Additional Information:This is a hybrid position which we consider to be a combination of remote and onsite work at our Boston, MA based campus. HBS expects all staff to be onsite 3 days per week and departments provide onsite coverage Monday – Friday. Specific hours and days onsite will be determined by business needs and are subject to change with appropriate advanced notice.

AM&C is also responsible for messaging and collateral to support fundraising and stewardship of donors and manages the broad-based fundraising appeals to alumni. The team is currently looking for a Coordinator to support the team in its efforts to support the School.

The role of AM&C is evolving as the School embarks on a digital transformation. This will call for a cutting-edge approach to digital marketing and marketing strategy to promote content, programs, and events more effectively and efficiently to a broad alumni population, as well as targeted segments within that population.

The HBS External Relations team, which includes AM&C, is dedicated to strengthening the lifelong relationship between alumni and the School by delivering meaningful engagement and learning, and by inspiring philanthropy that supports and extends the HBS mission of educating leaders who make a difference in the world. The AM&C Coordinator will be responsible for:

  • Manage and work closely with volunteer class secretaries.

  • Recruit, welcome, and instruct new secretaries.

  • Manage the production of class notes with outside vendors from working with copyeditors through the creation of and approval of pages at proof stage.

  • Use the online class notes application.

  • Oversee AM&C Assistant with quarterly tasks as part of production process.

  • Upload additional photos not included in the print pages on the web version of class notes.

  • Work with the content team to coordinate cross-over opportunities at the front of the magazine.

  • Review front section page proof and provide feed-back to magazine editor. Additional responsibilities may include:

  • Hire photographers and communicate photo shoot objectives.

  • Collect and organize photos to create photo galleries in SmugMug.

  • Maintain photo and digital assets for the department by uploading photos to the School’s digital archiving platform.

  • Research photos and partner with the graphic designer to obtain photos as needed for projects.

  • This role is responsible for other duties as assigned.
