Job Description:

The Robotics Program Coordinator works under the direction of the Director of Surgical Services in collaboration with the Chair of Robotics Committee. The Robotics Program Coordinator is responsible for assisting with education, orientation, process improvement, product evaluation, onboarding of new physicians, instrument and equipment management, and Preference card management related to robotic-assisted surgery in the operating room including, but not limited to, multiport robotic surgery, single port robotic surgery, and robotic bronchoscopy. The Robotics Program Coordinator provides for safety/security of self and others and follows all special precautions as related to patient care. They maintain a clean/organized perioperative unit. The Robotics Program Coordinator promotes a positive attitude to staff, families, and patient/guests as well as maintains patient confidentiality. They perform all tasks in a manner that is cost effective without compromising quality of care, meets hospital continuing education and certification requirements, and upholds goals and objectives of the Department of Perioperative Services. Robotics Program Coordinator contributes to organizational effectiveness and demonstrates career growth and development. Variable rotating shifts as assigned and call as assigned on a rotating basis.

Job Responsibilities:

30% Service Line Coordination

  • Maintains open lines of communication and provides input regarding operational issues related to physician requests, preferences and supplies or equipment necessary.

  • Researches physician needs related to area of specialty

  • Communicates physician needs as appropriate to various stakeholders including but not limited to purchasing/Central Supply, Biomedical Engineering and other departments as needed in order to coordinate patient care under the direction of OR leadership.

  • Manages all aspects of physician preference cards.

  • Communicates with all members of the perioperative team regarding physician requests, preferences, supplies and equipment

  • Submits capital budget information to OR leadership and gather data as needed for support.

  • Serves on committees and/or task forces.

  • Review of schedule to identify resource conflicts and to ensure appropriate equipment and supply resources are available for case working closely with charge RN.

  • Validates the daily OR schedule for procedures, equipment and supplies needed.

  • Works closely with charge RN to recommend schedule changes based on resource needs. Assists in facilitation of clinical trials under the direction of Nurse Manager.

  • Collaborates with Sterile Supply ensuring correctness and completeness of instrument sets.

  • Collaborates with Biomedical Engineering and Materials Management ensuring that all necessary supplies, equipment and implants are available for procedures.

  • Review schedule for resource for multi surgeon conflicts and works with schedulers and/or charge nurses to resolve conflicts and resource concerns.

  • Coordinates for necessary supplies and equipment related to area of specialty.

  • Demonstrate situational leadership & the ability to solve problems as they arise.

  • Assists in capital equipment requests and equipment requests and equipment selection.

  • Conducts staff meetings to review new techniques, explaining procedural changes, discuss problems, and exchange information on a regular basis

  • Assists in rounding and continued education for staff within the area

  • Attends required hospital and committee meetings

  • Supervises department equipment, ensures equipment is functional, repaired and inventoried as appropriate

  • Participates on complex projects, assignments and issues associated with the Perioperative Services Department

  • Acts as a resource for direction, training, and guidance for less experienced staff

  • Compiles data and generates statistical reports.

  • Documents and reports to management any unusual occurrences and / or incidences. Submits safety reports as needed.

  • Monitors schedule and orders special equipment and supplies for upcoming cases

  • Turns in appropriate paperwork in timely fashion

  • Monitors aseptic technique

  • Responds to all Codes in the OR when available

  • Attends meetings on time when able

  • Initiates work orders to repair broken equipment

  • Initiates loaner instrument requests

  • Follows up on items sent for repairs

  • Assists education staff with arranging in-services on new equipment

  • Facilitates integration of new members in all roles into the team; effectively communicates and collaborates with all members of the team; promotes teamwork through interaction

15% Programmatic Duties

  • Conducts robotic system training

  • Demonstrates Robotic-Assisted Surgical Systems to surgeons or visiting groups, supports new surgeons interested in robotic surgery

  • Pursues continuing education regarding specialty procedures/supplies/equipment

  • Sets up Robotic Surgical System for surgical procedures including auxiliary equipment

  • Assists with planning of training labs. Sets up and participates in animate labs utilizing the Robotic-assisted Surgical System that supports attending surgeons and surgical trainees.

  • Participates in program CME training events

  • Develops and provides education content for continued learning and in-service trainings

  • Liaison for programmatic administration to clinical teams

  • Functions as coordinator and liaison for visiting surgeons or groups for the Lahey Robotic Mentor Site & Case Observation Program

  • Attends and actively participates in program staff meetings

  • Provides program administration feedback on needs assessment for the education and training

  • Communicates on a daily basis to program administration on clinical needs

5% Other duties as assigned

Organizational Expectations

Practices within the Lahey Hospital & Medical Center policies and procedures. Adheres to the standards of behavior statements and core values as demonstrated through positive patient/family relations, positive and effective interactions with staff and formulating and meeting developmental goals. Precepts and/or assists with orientation of staff and students as guided by appropriate nursing staff and provide appropriate feedback to orientee, charge nurse, OR/Education and OR leadership.

  • Actively participates in staff orientation by accepting position as preceptor when requested; giving verbal and/or written feedback to ANM and orientee about performance; participating in pre-orientation and orientation evaluation conferences

  • Annually attends all mandatory in services/educational offering and CPR certification as measured by review of in service attendance records and employee provided verification of current CPR certification.

  • Attends and actively participates in scheduled unit staff meetings.

  • Annually formulates at least two professional goals, assumes responsibility for the development of a specific plan to attain goals.

  • Participates in self-evaluation at performance appraisal time by completing evaluation tool, and setting goals for self.

  • Assesses own knowledge, skill and function constantly and asks questions to validate present level and seek high practice level.

  • Engages in peer evaluation process.

  • Accepts criticism in a positive, self-development manner

  • Actively seeks assignment and participates in divisional and unit committees as assigned

  • Relays communication to appropriate personnel in the appropriate timeframe

Minimum Qualifications :

  • Minimum 5 years perioperative experience required, 2 years robotics experience required

  • Specialty Certification required (CNOR, CST)

  • Process Improvement experience required, Lean/Six Sigma preferred

  • MBA, preferred
