Tufts Medicine Implementation Project Consultant, Tufts Medicine Integrated Network in Burlington, Massachusetts
The Implementation Project Consultant is the primary contact and front facing customer implementation resource for the Community Practices during the Epic implementation. This person will work closely with the physician practice management, clinical staff and clinicians to ensure all implementation tasks are completed according to the go-live timeline. This person will coordinate all aspects of the Epic implementation and will work closely with the Community Connect analysts, trainers and third-party vendors to ensure a successful go-live. The implementation project consultant will partner with the physician practices to review current workflow process to ensure the key workflows will be accommodated in Epic. This role will be an advocate for the practice during the implementation, escalate as needed and will be the voice of the customer ensuring an excellent service experience. This role will report to the Senior Implementation Project Manager
Responsibilities
Establish a weekly meeting with the practice throughout the implementation. This meeting should include key practice management, the physician champion at least once per month and the assigned application analysts
Ensure all implementation documentation and third-party contracts are completed on-time
Manage the project plan so that tasks are completed without a delay in go-live and that all critical path items are monitored closely as missing those could result in a delay
Confirm all insurance enrollments are complete prior to go-live and if not evaluate a delay in the move to Epic professional billing
In conjunction with the training coordinator, confirm all staff are enrolled in the training classes for their role
Understand the physician practices operational and workflow requirements to make sure Epic can meet their needs
Collaborate with the application team, conversion team, training team, EMPI team and leadership on behalf of the physician practices
Monitor the data conversion and patient demographic file process to meet the go-live dates
Confirm the practice has a hardware vendor and that needed hardware is ordered, and work completed according to the go-live schedule
Oversee the creation of active directory accounts for new staff and clinician
Coordinate the at the elbow support at go-live and check in with the practices regularly during the first two weeks of go live
Include the assigned Customer Success Consultant in the last two implementation planning meetings with the practice to start the transition to support
If on billing work with the Community Connect Billing Success Consultant to understand any additional needs, workflow issues and additional training required
Confirm required invoices are paid prior to go-live
Escalate all issues to Community Connect leadership
Qualifications
Bachelor’s degree preferably in a healthcare or IT related field
Minimum of 2 years’ experience supporting ambulatory systems, preferably Epic Resolute/Cadence/Ambulatory and Professional Billing
Demonstrated ability to interact successfully with clients utilizing excellent communication and customer service skills
Strong project management and organizational skills
Knowledge of ambulatory and physician practice roles, processes, and workflows
Ability to navigate difficult/demanding personalities while maintaining a strong professional relationship
Strong customer relationship building skills
Ability to collaborate in a multidisciplinary environment
Self-driven and able to handle multiple projects simultaneously
Ability to work and communicate with physicians
Strong understanding of Epic and/or Epic Certifications preferred
