Description We are in search of an organized and detail-oriented Administrative Assistant in the real estate and property industry, based in Brookline, Massachusetts. This role involves multitasking across various projects, excellent communication skills, and the ability to work independently and make decisions. It provides a short-term contract employment opportunity, where you will be working with property managers, preparing correspondence and memos, assisting unit owners with maintenance concerns and requests, interacting with vendors, and handling on-call emergency services.

Responsibilities:

• Manage phone coverage and ensure excellent customer service.

• Coordinate with property managers for efficient real estate & property management.

• Prepare and distribute correspondence and memos.

• Assist unit owners with maintenance concerns and requests.

• Interact with vendors to facilitate work orders and property management.

• Handle on-call emergency services, as part of a rotation with other staff members.

• Maintain accurate data entry records.

• Use Microsoft Office applications and QuickBooks proficiently for administrative tasks.

• Exhibit skills in receptionist duties and administrative assistance. Requirements • A minimum of 3 years of experience in an administrative assistant role, preferably within the Real Estate & Property industry

• Proficiency in performing Administrative Assistance tasks

• Demonstrable skills in Customer Service

• Prior experience in handling Work Orders

• Proficiency in Data Entry tasks

• Experience in Property Management

• Capable of performing Receptionist Duties effectively

• Excellent verbal and written communication skills

• Strong organizational and multitasking abilities

• Proficient in using standard office software such as Microsoft Office Suite

• Ability to work independently and as part of a team

• Excellent problem-solving skills and attention to detail

• Must have a proactive and positive attitude towards work

• High level of professionalism and integrity.
