Brockton Hospital Leave of Absence Administrator in Brockton, Massachusetts

Position Summary:

The Leave of Absence Administrator manages the end-to-end process of all leave of absence programs, ensuring a positive employee experience. Ensures employees are paid accurately while on leave of absence. Maintains compliance with leave of absence and employment laws including the Americans with Disabilities Act (ADA). Leave programs include Family and Medical Leave of Absence, Massachusetts Paid Family and Medical Leave, short term disability, long term disability, military leave, personal leave and workers’ compensation leaves of absence.

This is a full-time 40 hour / week position

Responsibilities:

  • Communicates with employees contemplating leave ensuring that employees are aware of their responsibilities and of any documentation and notice required to qualify for and to take leave.

  • Communicates with the Payroll Department and department supervisors/managers to ensure accurate and timely pay.

  • Communicates with employees and their managers to facilitate smooth and timely return to work.

  • Advises managers and employees on the interaction of FMLA, Massachusetts PFML, paid time off, workers’ compensation, and short-term and long-term disability programs.

  • Monitors employee benefit continuation within policy and legal requirements. Invoices and processes payment of benefit premiums when employees become on an unpaid status.

  • Works with Human Resources Business Partners (HRBP) on leave cases requiring accommodations and/or employment actions/decisions. Participates with the HRBPs and Employee Health in the interactive process of accommodating employees during the return to work process.

  • Works with Employee Health to ensure that workers’ compensation leaves are coordinated with paid time off and other leave programs.

  • Maintains complete, accurate and up to date records of all leaves of absence.

  • Calculates accurate short term disability rates and enters payments into Kronos on a biweekly

  • basis.

  • Works with the Payroll Department and the employee’s manager to avoid overpayments.

  • Oversees the process of file feeds to outside FMLA/short term disability carrier.

  • Works closely with PFML insurance company, supplying required documentation and responding to information requests on a timely basis.

  • Recommends policy and procedure changes to improve practices and procedures and ensure compliance with applicable laws.

  • Demonstrates respect and regard for the dignity of all patients, families, visitors, and fellow employees to ensure a professional, responsible, and courteous environment.

    BASIC KNOWLEDGE/SKILLS/APTITUDE/EXPERIENCE:

  • Ability to solve practical problems and deal with a variety of variables in situations where only limited standardization may exist.

  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

  • Must be able to reasonably make appropriate judgment in communications and actions with patients, physicians, employees, outside agencies, and vendors.

    Education/Experience/Licenses/Technical/Other:

  • Education: High school diploma or equivalent required. Bachelors degree in Business, Human Resources or a related field preferred.

  • Experience : 2-5 years of related experience required.

  • Certification/Licensure: Certification and specialized training in leave of absence management preferred.

  • Software/Hardware: Proficiency in Microsoft Word and advanced Excel skills required.

  • Other: Excellent written and verbal communication skills required. Must be organized, efficient and work with a focus on accuracy and timeliness.
