Performs routine clerical functions, including filing; supply ordering, operates various computer software programs in the preparation of documents, letters, forms, etc.; responds to written and verbal requests for information; copies, collates and distributes material as assigned; answers phone calls and other inquiries; open and track mail via Filemaker Pro database; Enters information and reports in the Inmate Management System (IMS). Takes minutes of meetings when needed. Receive and screen all incoming telephone calls to the office assigned. Take accurate and informative messages and directs misguided callers to appropriate personnel. Process all incoming mail for the office assigned. Exercise and maintain sound judgment and maintain confidentiality in handling all confidential material/information. Maintain numbered correspondence logs and ensures timely responses. Identify education needs to maintain and update job skills to include no less than sixteen (16) hours of approved training per fiscal year in accordance with Department policy. Provides coverage for any department in the facility as needed. Switchboard coverage when needed. Gather statistical information and performs various data entry assignments/projects. Performs all other related duties as requested.Qualifications First consideration will be given to those applicants that apply within the first 14 days. MINIMUM ENTRANCE REQUIREMENTS: Applicants must have at least (A) two years of full-time, or equivalent part-time experience in office work the major duties of which included typing, or (B) any equivalent combination of the required experience and the substitutions below. Substitutions: I. A diploma as evidence of graduation from a commercial or business course of a recognized high school or vocational/technical high school maybe substituted for a maximum of one year of the required experience. II. A diploma as evidence of graduation from a course other than a commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience.* III. A diploma for completion of a program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of one year of the required experience.* IV. An Associate's or higher degree may be substituted for a maximum of one year of the required experience.* Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.
