Assessment and Admissions Scheduler

Job Purpose:

An Assessment and Admissions Scheduling is a professional who utilizes scheduling software to create and maintain client and employees' schedules.

Act as a resource to clients and employees by answering questions, resolving conflicts, making changes to services, while maintaining professionalism.

Essential Functions

Confirm the day and time of services for new clients, update client files/system appropriately.

Utilize our scheduling system to schedule team members based on certifications, skills, experience, location, and availability requirements of clients.

Be available in Vitra Health's Headquarters to answer and respond to live calls via the Caregiver Hotline.

Create and maintain client and employee schedules.

Partner with the team to resolve scheduling conflicts as they occur including employee callouts, changes in client's or employee's availability, etc.

Partner with the Program Manager, Intake, HR, and Recruiting teams to identify gaps in the availability of current employees and client needs to create the hiring forecast.

Identify opportunities for improving or streamlining processes.

Act as a subject matter expert and resource to other team members.

Provide high quality customer service to both clients and caregivers.

Communicate with necessary parties of any change in schedule, staff availability, or any other situation that may arise.

Must meet or exceed given KPI's on a consistent basis.

Auditing, Log collections

Other duties as assigned.

Education, Experience and Licensure Requirements

Minimum 1 year of scheduling, administrative assistant, medical receptionist, clerical data entry, or relevant experience required.

High volume scheduling experience preferred.

Experience in healthcare scheduling or home health scheduling preferred.

Fluency in English and a second language (Spanish, Haitian Creole) preferred.

Experience utilizing scheduling software, CareCenta, preferred.

Microsoft Suite and Google Suite proficiency required.

Current CPR Certification (if not, it can be provided)

Previous experience in the direct care of elders or adults with disabilities preferred.

Must be able to pass a background check.

Must be able to pass a required TB test and physical exam.
